Looking no further, MacGregor is looking to hire an Administrative Assistant to join our team.
The purpose of this role is to drive efficiency and accuracy in all tasks related to administration and finance.
Essential functions include managing the switchboard and reception area, ensuring the timely distribution of incoming and outgoing company mail.
Your day-to-day responsibilities will include controlling the distribution and inventory of office supplies and equipment, and maintaining an organized office archive.
In this role you will act as the primary point of contact for external service providers, including repairs, cleaning, emergency services and landlord.
More tasks and responsibilities
- Assist the Line manager with general administrative tasks, including food voucher orders and port access badges, and provide support with finance-related activities
- Provide support to the Accounting Shared Service Center by processing incoming and outgoing payment requests
- Process Accounts Payable (AP) invoices within Basware, including review, verification, and management
- Administrate travel expenses, including employee support, form review, and timely submission
This role is part of our Finance and Business Processes Function.
Reporting directly to the Area Controller.
This position is based in Genoa, Italy.
**What you'll need to succeed**:
Knowledge and understanding of financial systems such as SAP and HFM are essential in this position.
We are looking for a motivated individual with a desire to learn and grow within our team.
You have the ability to work with Excel and have IT advanced skills.
As a person you possess good communication skills and have a positive, helpful attitude.
Ideally you have
- High School diploma, Bachelor's degree in Accounting or Administration, or equal qualification
- Ability to effectively organize workload and prioritize tasks to meet deadlines
- Proactive approach to improve ways of working, tools, methods and processes
- Conversational in English and Italian - both verbal and written, French language is an advantage
