Administrative Manager
The Bennet & Bernard Group in Italy is looking for a strong Administrative Manager to facilitate business operations in Italy and other regions where the company has business interests.
Bennet and Bernard is a global and diverse business house with fifteen years of business operations.
Specialising initially in the Luxury Real Estate segment, the organization has diversified and expanded internationally in the last eight years, having presence in three continents and operating in six counties of Europe, East Europe, Far East and West Coast Africa.

Currently, in Bari, Italy, we operate an artisan pasta factory called Pastificio Leo, and as we focus on expanding this business, we are also actively exploring additional business opportunities in the region.

**Significance & Description**: The role is significant requiring high commitment to support the expansion of business operations in Italy and extend support for other businesses we have initiated in EU.
The Administrative Manager will partner with the Leadership for the set-up and facilitation of daily business operations, managing all business paperwork.
S/he must be a problem solver, strong communicator, well-versed in coordinating with government offices and other private establishments.
The individual must look at adding systems in the business that are strong, reliable, flexible to meet the current and future business needs.
They will co-ordinate with vendors, consultants, lawyers, hospitality partners, and others, as the need may arise, for pricing, quotations, advice, etc to progress business.
Coordinate & communicate with other team members, including international teams, to get the job done.
Will create meeting notes, professional business drafts, translate documents in Italian/ English as the need may be.
The Administrative Manager is crucial to effective and efficient day-to-day operations of the company.
He/ she will multi-task to support the organisation in a variety of ways including record and book-keeping, communications, scheduling, follow-up, data entry, secretarial services and much more.
**Key Accountabilities
- Coordinator: The business administrator is the central coordinator and communicator of all company and office work with other business partners, government and municipal authorities, etc.
- Will draft/ translate required correspondence in business language of Italian/ English as and when required for the business.
- Setting up Standard Operating Procedures (SOP) for smooth functioning of day-to-day operations which includes recording official communication, employee information, vendor management, etc
- Support clerical or other administrative tasks.
- Maintains all soft copy files and hard copy files as needed.
- Organizing, arranging, and coordinating events, meetings, travel arrangements, etc
- Co-ordinate with the other global teams as and when required.
- Maintain book-keeping, record of incoming invoices, payments, statutory payments, etc
- Find vendors and invite terms of operations, maintain record for these, understanding the terms and safeguarding the business
- Negotiate terms of vendor deals as possible or where required, scrutinise rates and fees from vendors, contractors, on-going associations, always ensuring the business and vendor partners, are fair.
- Versatile in handling employee paperwork, working knowledge of employee work contracts, benefits, payroll, etc.
- Maintaining a clean, hygienic, elite workspace, that represents the company well.
Creates a healthy and enjoyable working environment.
Is excellent in logistics & facility handling.
- Manage external or internal communication
**Personal Skillset
- Knowledge of Italian & English is mandatory.
Additional foreign language (Portuguese/ Spanish) is a plus.
