Summary
**Essential Duties and Responsibilities
Duties and responsibilities include the following. Other duties may be assigned.
- Interface with tax advisors, the bank and the service providers.
- Appointment and assessment of third-party contracts with signatory responsibilities in conjunction with the Company Director(s). This includes entering into contracts for rental or purchase of goods and services (company car, health policy, supplementary pension fund, etc. )
- Opening, sorting and distributing incoming correspondence.
- Performing general office duties such as maintaining records management systems, ordering supplies and handling payments to relevant suppliers and stakeholders.
- Performs general clerical duties including but not limited to scanning, filing, and data entry; collects and opens mail; completes various forms, including purchase requisitions, shipping requests, travel expense reports, requests for payment, consultancy agreements, maintaining office supplies and inventory.
- Partner with support teams for any technology, facilities, or support needs that arise for the business.
- Assisting with the collection of signatures on company documentation.
- Handle invoicing and follow up on invoices sent.
- Providing general support to visitors, vendors and auditors including scheduling meetings and coordinating agendas
- Keeping track of changes in legal framework and providing timely updates on these changes
- Responsible for maintaining inventory of office supplies to prescribed procedures and contractual agreements.
- Where needed, support onboarding and offboarding processes, including helping order equipment, securing workspace, helping to navigate internal systems and processes.
- Support at the reception area when necessary.
- Performs other related duties as required and/or assigned.
**Qualifications, Education and/or Experience

- Previous Experience in Office/Administration role is essential.
- Professional skills in verbal and written communication in Italian & English.
- Understanding of Italian laws, including, but not limited to Employment Law, Tax and Accounting obligations
- The ability to utilize computer skills is essential including the use of Word, Excel, Power Point and Outlook,
- Dependable, honest and ethical; shows a high level of personal judgment.
- Acts with discretion at all times. A high degree of integrity and sensitivity is required given the job holder will be working with confidential information.
- Must be team-oriented, a self-starter, highly organized, well presented, possess excellent time management and prioritization skills, be disciplined and highly ethical.
- Must have driven personality, great business acumen, and exceptional leadership skills.
- Must have ability to be a team player.
- Must be accurate, careful and thorough.
- Must have ability to work together with other departments and individuals in the organization and develop positive and supportive relationships with colleagues, internal staff and management.
