Reporting to: Freight Team Leader or Freight Supervisor
Department: Global Freight Forwarding
**JOB SUMMARY
**Air Freight Export Clerk** carry out all the activities and operations foreseen in the Airfreight department for outbound shipments.
Purpose of the job is completion of the daily activities for Air freight products in compliance with UPS standards and procedures and provide customer service to clients.
**JOB DUTIES ASSOCIATED ACTIVITIES
- Contact with suppliers/local customers as well as network service centers to arrange shipments
- Reception and/or transmission of shipping instructions (as per SOP or standard procedures)
- Arrange pickups with UPS authorized ground carriers
- Data entry into E2K System according to KPI standard procedures
- Contact with International Carriers and freight booking
- Set up arrangements for Customs Clearance purpose
- Communicate flight details to clients
- Monitor shipments schedule and follow up tracking from departure to final delivery
- Rates/freight accruals set up into system as per Pricing Agreements/One Day Quote received by BD/Pricing Team
- Enquiry with Carriers for failure reasoning
- Set up corrective plan to ensure final destination is reached
- Respond to customer enquiry concerning the shipments in course and redirect to Team Leader or Supervisor more complex requests
- Fill in claims standard form as per claim procedure for further sending to claim department
- Customers invoicing
**ACCOMPLISHMENTS KNOW-HOW, SKILLS & EXPERIENCE
- Education level : High school graduate or Bachelor degree
- Experience : preferred Air freight service industry basic experience
- Skills:
- Basic Knowledge of Air freight processes and Customs procedures
- Ability to meet high volume and quality service commitments for multiple clients.
- Good time management skills: able to prioritize and work under pressure,
- Team work: ability to follow through a shipment in an organized manner that is cost effective,
- Ability to negotiate rates
- Problem solving attitude
- High reaction to solve problems and take prompt decision.
- Language skills and ability to communicate at customer and network levels
- IATA regulations
- Incoterms
- Basic ENAC security regulations

Key Performance Indexes:
Data Quality indicators are set up and monitored weekly on actual versus plan basis.
Operation clerks are trained in order to comply procedures and KPIs during daily job:
- Shipments End-to-End transit time
- Shipment door-to-door milestones on FGV
- Invoices on time release
etc.
Working place could be Rome or Milan indifferently, basing on resource skills and availability.
