What's the role?
**:
Based in Bologna, as Back Office Assistant, you will report to the Executive Assistant and Facility Coordinator.
The primary purpose of that role is to provide a high level of administrative, secretarial and organizational support to all teams within ZGS, to allow for the effective and efficient functioning of the business.
This a 6 months contract to start asap. .
You will deal with the following tasks:
Administrative support
- Sort incoming couriers and postage, distributing to appropriate staff.
- Sit at reception area and welcome visitors supporting with the guest visitor registration and monitoring access.
Facility and Office coordination
- Coordinate the office and other facilities, including coordination with suppliers, provision of services (garbage, cleaning, utilities, maintenance etc.
).
- Handle the management of company cars, such as contracts, regular maintenance, calendar bookings, etc.
Travel coordination
- Coordinate travel/accommodation and information for visitors
- Support with the organisation of travel itineraries and coordinate travel/accommodation for visitors and the ZGS team
Communication support
- Support ZGS communication, engage with the team and act as a central point of contact and coordinate internal communications with the team.

Who are you?
**:
- High-school diploma or equivalent.
Better if university degree.
- Fluent in Italian and English both written and verbal, another language (French or Greek) is considered as an advantage.
- Highly developed computer skills (Microsoft office, O365, MS Teams).
- Excellent verbal and written communication skills are essential to this role.
- Strong organizational and time management skills, and ability to prioritize.
- Driver's license, access to a car and comfortable driving long distances (both automatic and manual shift).
