Business & Congress Support Clerk
Provide technical administrative support to management in a function or area, ensuring compliance to Abbott/ OEC procedures related promo activities.
Applies knowledge of the operation and understanding of the principles and procedures to the completion of complex tasks.
Operates a wide variety of office equipment to provide support and service.
Support ANI Italy in guaranteeing compliance with all local laws and Abbott procedures about promo and accounting activities.
Description of Responsibilities
Main tasks include:
- Ensure all promotional contract management (contratti promozionali, confenne d'ordine ECM, lettere di incarico, donazioni, horse di studio etc. )
are in line with Abbott procedures and with Local Law.
- Using the appropriate systems (BPCS), requires the sending of product samples.
- Prepare the documentation to be submitted to approvers.
- Interface with agencies and providers.
- Composes, types, organizes and analyzes data information.
- Prepares related files for internal circulation.
- Occasionally participate at Event / Congress, -in order to collaborate and follow-up.
- Work to organize meetings and events; schedules and maintains calendar of appointments, meetings and travel itineraries.
- Makes travel arrangements (e. g.
air tickets, hotels, car rental), working closely with the travel agency.
- Supports other departments/assistants within the own organization during absence, leave, or sick leave.
- Support corporate and external audit
Knowledge and Experience
- Secondary Studies/ degree in Law or similar.
- Minimum 3-5 years experience and success in a similar position as Legal/ OEC assistant.
- Excellent oral and written communication skills in Italian and English, other languages may be useful.
- Excellent knowledge of and experience with the MS Office suite (Word, Power Point & Excel) & Lotus Notes.
- Abbott policies knowledge and procedures that affects the job.
- Proven organizational skills combined with commitment.
- Good interpersonal skills and cultural awareness.
- Strong communication skills and the ability and confidence to work effectively in a team and to establish and maintain good working relationships with respect to all levels of staff and external parties.
- Self motivation and ability to work without close supervision and under pressure.
- Follows up for responses or feedback to close issues on time.
- Ability to embrace, represent, and promote the Abbott Mission and Culture within and outside the organization.
- Provides efficient quality service to both, internal and external customers.
