WHY THIS JOB EXISTS
To serve the needs of the business, our guests and our team members by ensuring that all guest rooms and suites, Public areas and Restaurants are well maintained and cleaned, providing professional customer service and care to the Hotel's guests ensuring all requests are handled promptly and efficiently, and providing guests and employees with a safe and orderly environment.
This position is responsible for overseeing and directing the day-to-day operations of the Butler department and assist in the forward planning of the department.
KEY DUTIES AND RESPONSIBILITIES
**The key responsibilities for this position are**:
1.
Ensure that all Suites are properly cleaned and maintained at all times, in line with the hotels Standard Operating Procedures related to these areas.
2.
Communicate all required and requested information to the relevant departments and individuals.
3.
Prepare and distribute the Daily Discovery sheet, with accurate information of all checkin, checkout and special events happening for suite guests.
4.
To ensure all transportation needs of our guests are communicated and followed.
5.
Stock control of all the items used and needed for the butler team
6.
Monthly stock takes of operational items as required
7.
Prepare Weekly/Monthly rosters and be up to date with the team vacation plan
8.
Manage all butler team members and day to day running of all guest services and requests for the suites
9.
Sound knowledge of key hotel operating systems
10.
Daily checking of the guests accounts and folios
11.
Attend all relevant meetings
12.
Assist the management where possible
13.
Communicate all necessary information to the team and management with regards to suite guests to ensure a seamless guest experience
14.
Assist with checking of reservations for all suite guests ensuring that all requests and preferences are clearly shared with relevant departments and actioned as necessary.
15.
Organize, conduct/facilitate regular team training for butler team, actively participation in training, teaching, mentoring, and coaching
16.
Conduct the daily briefing of the team
17.
Taking disciplinary action when necessary
18.
Record of Annual leave and Pending offs and public holidays
19.
Revision of SOP's and LSOP's, if required related to butler operations and suite experiences
20.
Communicating with our guests prior to arrival and after they depart to ensure that there is a seamless luxury experience
21.
Executing any guest request that is lawful
22.
Step in for the butlers when required
23.
Daily communication with our guests and staff alike
24.
To ensure that all our guests are well versed in the daily activities and offerings
25.
To accompany our guests to the hotel facilities when required.
