THE ROLE The Distribution Client Services Associate provides support to the Relationship Management and Sales teams, ensuring that the production of appropriate and accurate marketing materials for client and sales engagement activities across business streams and territories. The Client Services Associate will also assist with factoring applicable contractual information, regulatory environment, compliance and business rules.
The Client Services Associate will develop their understanding of the products and vehicles at MFS to effectively assist in relationship management efforts. The Client Services Associate will enhance client relationships by providing outstanding service.
WHAT YOU WILL DO Support the Client Services team to manage content creation process via project management of partner teams, ensuring that relevant production specialists are working to correct deadlines, and data and brand parameters. Work in close coordination with the wider team to build confidence in how to influence decisions of Senior Leadership, Managing Directors and Business Partners across Distribution, in accordance with business and compliance rules and Service Level Agreement, regarding the build and usage of Client/Sales Meeting Materials. Start to build professional working relationships to become a trusted partner. Work with automated systems to autonomously pull together materials, understanding and applying business and compliance rules as required. Support the wider team to create customized sales and marketing presentations for full spectrum of institutional investment based on knowledge of the product(s), benchmark, and other data. Create ad hoc materials (due diligence, product, etc. ) to enhance sales process. Work in close coordination with the client facing team on the production/distribution of pitch and client review books (including providing customized data), and correspondence. Check data input for accuracy. Develop the ability to field inquiries from the field team to properly assess their needs and direct them to a solution. Determine the urgency of the request and which information is appropriate to send to the sales prospect or client. Ensure satisfaction with service level received. Utilize the CRM database as a central resource to maintain and track all appropriate contacts and activities within assigned territory. Generate regular and custom reports as necessary. Work with Client Services Specialist to develop, communicate, and implement workflow procedures relative to sales and relationship management functions. Communicate issues or trends to manager relative to workflow, operational, or compliance issues that arise in course of job responsibilities. Support all aspects of external events such as roadshows, product-focused events and industry conferences. Support the wider sales/client facing team with event planning and external vendors working within department budget. Provide support to manage the coordination and production of all materials. Coordinate regular and specialized mailings to established contact lists. Provide, when required, customized lists for targeted and time-sensitive communications. Office Management: Manage the office to ensure its smooth functioning (including but not limited to phones, office equipment, stationery, meeting rooms, conference lines, and welcoming of guests). Collaborate with the Disaster Recovery team in Boston on the Italian Disaster Recovery and Pandemic plans. Manage the coordination and implementation of the Disaster Recovery and Pandemic plan testing. Provide the Disaster Recovery team with feedback and recommendations. Communicate all open and pending IT and Facilities issues back to the London and Boston offices and manage oversight and issue escalation. Manage processes, resourcing and legislative changes in areas such as Health & Safety, Security, and Property Management and provide management with recommendations. Manage the effective execution of projects for office space planning in Italy. Provide input on lease agreements, rent negotiations, managing relations with our approved vendors and suppliers, etc. Perform office management/development, liaising with suppliers, property agents, building agents, architects, etc. Perform a variety of administrative duties to assist the country head and to ensure smooth and efficient department operations. Assist other teams within the department and perform additional duties as requested by manager. WHAT WE ARE LOOKING FOR Degree or equivalent. Previous experience in office management required. Strong written and verbal communication skills in English and Italian. Proven ability to organize and coordinate multiple projects simultaneously with great attention to detail.
