Job DescriptionThe Conference Services Manager is accountable for coordinating the execution of all requirements and details for groups booked by the sales department, as needed.
Responsible for anticipating and exceeding the guest's expectations and needs in planning for each event, while enforcing and upholding the terms of the agreement, ensuring the best return value for the hotel.
Effectively communicates the needs and expectations of the client with all departments of the hotel. Responsibilities and essential job functions include but are not limited to:Develop strong relationships with clients pre, during, and post events to secure future businessConfirm event related information with the client.
Organize/disseminate information to all departments through emails, event orders, directives, resumes, and rooming lists in a professional and timely mannerWork with the culinary team to build creative menus, mindful of food costs, labor costs, and kitchen capabilities.
Obtain approval from the Director of Sales Marketing when any special menus are soldConfirm electrical, internet, telecommunications, audio-visual and exhibit requirements based on discussions with the clientCreate floor plans for best use of space for each event and to ensure banquet and client are in agreement prior to set-upObtain guarantees of food and beverage events for banquets and kitchen. Responsible for sufficiently "washing" room block and food and beverage covers in order to ensure a more accurate forecastConfirm billing procedures, ensuring client credibility and those deposits are/or credit applications are received with adequate information and within an acceptable time frameYield bedroom and meeting space daily to ensure optimum potential through the use of Opera Cloud Sales and Catering and PMS systemsConduct pre-conference meetings to ensure key departments are fully aware of relevant details pertaining to group upon their near arrivalWork very closely with the Food Beverage and Banquets leadership team to ensure a seamless execution of all eventsAttend daily meeting to review event contracts to ensure last minute changes are communicated with banquets, kitchen, and stewardingFully knowledgeable of (and in adherence to) liquor and fire safety laws and regulationsAttend weekly/monthly departmental communication meetings, also sales and operations meetings as requiredAttend the post conference follow-up conducted by the Sales Manager to address strengths and opportunities of an event while soliciting return businessResponsible for following the guidelines/deadlines as detailed in the Conference Services and Catering checklistMaintain regular and predictable attendanceOther duties as assignedQualificationsHospitality Management degree or equivalent preferred2 years plus experience in a similar role within a luxury hotelExcellent customer skills, superior interpersonal skills, results-oriented and highly motivatedProven ability to plan and execute events effectively with a strong attention to detailStrong knowledge of Opera Cloud, Word, Excel, and Social Tables diagramming programsStrong written and verbal communication skillsComputer/Office skills requiredAbility to work weekends/holidays/eveningsAbility to work outdoors if neededAdvanced knowledge of catering and events services requiredAttention to detail and strong organizational skillsAbility to distinguish the various priorities as they relate to both guests and employeesMust have ability to work with others to create attention to detail, speed, accuracy, follow-through, courtesy, and cooperativeness. Must have ability to secure minimum levels of skills and abilities that would allow for a proficient job orientation based on specific tasks and methods.
