THE ROLEThe primary responsibility of the Jr Manager Stakeholders is to provide support to the members of the Stakeholder Relations team with a focus on TOPs and Domestic Marketing Partners responsibles via the VP.
The Stakeholder Relations team services the various stakeholders within the Olympic Movement: The Olympic Partners (TOPs), Local Marketing Partners (LMPs), Rights-Holding Broadcasters (RHBs), International Federations (IFs), National Federations (NFs), and National Organizing Committees (NOCs).
This position will liaise with other key workstreams - including but not limited to sales, marketing, legal, and operations - to meet and exceed client expectations as well as create effective & efficient processes and a positive & productive working environment. with Client on all hospitality-related matters as requiredDevelop strong positive relationships with Client key contacts based upon clear and frequent communication, mutual trust, and ability to meet Client's needs under the supervision of VP Stk Relations, Director of Domestic Partners and Senior Director TOPsMaintain overall project planning timeline and monitor project delays and risksUpdate time sheet tracker weekly and submit for reviewManage the Stakeholder Relations timeline: track milestones, risks, dependencies, etc. Assist in the development of the Stakeholder Relations manuals and presentationsAssist in the creation and distribution of event-related communications to applicable staff and clientsDesign templates and/or materials that the team can use for site inspections: itineraries, briefing books, maps, etc. Organize and file all administrative documents: health & safety, RFI/RFP questions, NDAs, staff scope of work, job descriptions, etc. Assist in the creation and execution of RFI and RFPs from existing and potential clients, with support from Stakeholder Relations team members, which could include any of the following: research, gather, organize, author, edit, and/or produce written proposal materials; revise drafts includingexecutive summaries, case studies, and conclusionsAssemble information from functional areas, including objectives and deliverables, implementation, processes, timelines, staffing needs, budgets, etc. Coordinate design and layout in an organized and effective manner, including copywriting and graphicsCreate a process for reviewing post-event notes and client surveys to ensure brand quality standards are achievedExecute all other duties assigned by the teamAvailable to assist other workstreams related to Olympics as neededOther Duties & Responsibilities:Develop, document, and implement specific procedures, systems, and operational efficienciesConduct and/or participate in Team meetings, as neededParticipate in post-event review meetings regularlyConduct process review / improvement meetings regularlyDrive focus on Continuous Quality ImprovementContinuously monitor processes and provide recommendations for efficiency and quality improvement; develop, document, and implement specific procedures, systems, and operational efficienciesHelp the team prioritize, stay focused, and organizedExtensive collaboration and communication within the team and across workstreamsSituation analysis and decision making; identify, understand, and remove roadblocksTravel:Must be adaptable with work and travel schedule and be available to travel for work which may include extended work hours during nights, weekends, and holidays. National/International travel may be required, including extended periods of remote work within local offices within host cities.
Expected travel may range from 10-15% annually and 1-2 months of continuous travel during Olympic games. Availability:From 1 September 2024 to 31 March 2026QUALIFICATIONSTo perform this job successfully, the candidate must be able to perform each essential duty above at the highest levels.
