Custom Programs Specialist - Accounts &
Reports to**: Director of Custom Programs
**Based in**: Rome or Florence
**Requisites**:
- Excellent communication skills, written and spoken, in English.
- Professional working proficiency in Italian.
Additional language proficiency in French and/or Spanish is preferred.
- Knowledge of American Higher Education systems and study abroad programs
- Excellent customer service skills
- Knowledge of Microsoft Office and Google Suite, especially Excel and Sheets
- 2-4 years relevant experience
- Flexible, independent and detail oriented
- Ability to prioritize and meet deadlines
- Ability to problem solve
- Ability to manage schedules and logistics
- Bachelor's Degree
- Available to work evenings and weekends and travel during high season as needed
- Available to serve on a rotation as an emergency point of contact
**Responsibilities**:
- Assists with program development: drafting budgets, proposals and agreements
- Conducts research on cultural activities, academic content, vendors and logistics
- Assists the Director of Custom Programs with the management of US partner school relationships.
Communicates regularly and with great tact and diplomacy with university counterparts
- Interfaces with faculty leaders and SAI offices during program development and recruitment phases, participating in consultation calls as necessary
- Assists the Director of Custom Programs with the creation of program materials including Pre
- departure guides, promotional flyers, online and in-person orientation presentations, info sessions, and onsite materials
- Assists the Director of Custom Program with marketing and outreach activities such as webinars, newsletters, special presentations, site visits and more
- Serves as program point of contact for assigned programs and assures that all program
components/tasks are completed according the schedule/timeline
- Assists Custom Programs Manager with bookings for viable programs, where necessary
- Assists with program implementation as needed, accompanying groups and faculty on visits, holding orientation sessions and responding to student issues and emergencies
- Performs accounting and budget reconciliation, according to SAI procedures
- Creates WhatsApp Groups for all programs and adds student and faculty participants
- Responsible for social media initiatives for custom programs and participates in SAI Social Media Committee meetings
- Updates internal tracking documents and creates Program Folders in Google Drive
- Coordinates health insurance enrollment for custom programs and obtains insurance certificates for schools, as needed
**Office hours**: Monday to Thursday, 10:00am to 6:30pm, Friday 10:00am to 5:00pm
**Contract**: CCNL 12-month contract with the possibility of extension
