Our Pall team in Italy is looking for a new colleague: for our ambitious and ever-evolving Customer Service team of 7 colleagues in the Milan area, we are looking for an enthusiastic and internationally oriented **Customer Service Representative **!
In this dynamic position, you will interact with our Italian key customers in the Biotech market and support in identifying their needs, determine appropriate actions, provide quotes, process sales orders and document customer complaints.
As a first point of contact to the customer, you respond to customer service needs, including shipments, billings and warranty issues, and basic product inquiries.
**Your Key Responsibilities**:
- Enter, monitor and update current sales orders and projects to ensure customer requirements and department KPIs and objectives are met;
- Maintain copies of all sales orders processed using the storage media provided;
- Raise credit and debit notes, Product Return and Cancellation Authorization as agreed by the Customer Service Manager;
- Prepare and draft contracts, quotations and tenders for Pall products as guided by the Customer Service Manager;
- Monitor and meet the requirements of current contracts and agreements to provide a timely alert to all concerned regarding expiry dates, price reviews and product usage figures;
- Respond to routine and technical communications and inquiries from customers and the sales teams, while keeping the Customer Service Management informed;
- Oversee the order management process through QlikView and ERP reporting tools and manage price lists, contracts and support price increases as per line of business (LOB) requirements;
- Attend training courses, staff and sales meetings as agreed with the Customer Management and participate in other support activities within the Pall organization.
**Your Background**:
- A minimum of 3 years experience in a Customer Service position is required, preferably in a multinational or manufacturing organization;
- Fluent working proficiency in the English and Italian language is a must;
- Advanced PC skills: advanced proficiency in Word and Excel, experience with ERP systems SAP and Oracle is strongly preferred;
- Excellent communication skills, in cooperation with all internal and external stakeholders;
- Customer-focused, an enthusiastic mindset and adaptive personality to successfully support and build relationships with our customers;
- Ability to work with deadlines and organize and prioritize responsibilities;
- Experience with or knowledge of ISO 9001:2000 procedures is a plus;
- Based in Milan area and able to work hybrid: partially in office and partially from home.
