Customer Service Specialist
On behalf of our Client an important pharmaceutical company, IQVIA is looking for a Customer Service Specialist who can join an exciting working environment in a dynamic and atmosphere.
Office in Milan.
As a Customer Service Specialist in our Order to Cash team, you will be a key player managing the sales order creation and customer billing processes, ensuring compliance with internal controls and maintaining high levels of customer satisfaction.
This role requires proficiency in ERP systems, as well as the ability to manage customer communications effectively across various channels.
Key Responsibilities: Sales Order Management: Create sales orders using Client ERP and EDI platforms (DAFNE/Navision), ensuring adherence to company policies.
Financial Documentation and Controls: Upload all evidences related to O2C internal controls into Blackline system.
Customer Communication: Promptly respond to customer inquiries via telephone and email, maintaining a professional contact to ensure customer satisfaction.
Billing and Invoicing: Oversee the daily customer billing process, including the issuance of invoices, credit notes, commissions, and rebates, coordinating with the finance department on any payment or credit limit issues.
Quality Control and Compliance: Participate in quality investigations, traceability inquiries, audits, and manage the return of expired and damaged goods to uphold quality and service levels.
Incident Management: Coordinate with the quality department, logistic providers, and finance to manage customer incidents, including the preparation and handling of required documentation.
Logistics Provider Coordination: Maintain a direct relationship with the logistics service provider to resolve any transportation-related issues.
Record Keeping: Maintain accurate digital and physical records of all customer-related documents such as sales orders, customer documentation, and shipment notifications.
Cross-Departmental Coordination: Communicate and coordinate with other departments including finance, quality, and the tender office to resolve any issues related to daily operations and ongoing projects.
Customer Data Maintenance: Manage the Customers Master data by creating new records or modifying existing ones through GENPAC tickets.
