**SUMMARY
We create interactive equipment experiences for clients by providing state-of-the-art fixed tech and mobile tech showcases where clients can view and play with the latest high-tech computer solutions.
Imagine a truck outfitted with the most current desktops, laptops, and peripherals driving right to the client's door, allowing hands-on and in-person exploration of creative technology solutions. That's TRM! Reporting to the Sr. Director of Key Accounts and working closely with American team members, the TR Event Marketing Coordinator (EMC) exhibits professionalism, communicative expertise, and autonomy to successfully oversee the daily program operations of the London-based TRR and TRM EMEA. Performing technical and customer service work, as well as other administrative duties, the EMC regularly collaborates with US-based colleagues to identify and implement the best methods for improving efficiency and operational standards. The EMC is familiar with event management and technology systems and works with high-profile, internal and external customers. A high degree of written and verbal communication is required while evaluating situations that necessitate unique handling to provide exemplary customer service.
**ESSENTIAL DUTIES AND RESPONSIBILITIES
- Interact with customers, perform opening and closing duties, recordkeeping, receiving, inspecting/recording of shipments/supplies, and stocking as required
- Observe facility security and setup/shutdown protocols
- Learn and manage and monitor wall and touch-table databases
- Manage intake of appointments for TRR and TRM by communicating directly with primary client, their customers, and by coordinating logistics with TRM trucking agent
- Oversee and communicate internal scheduling for TRR and TRM EMEA using TeamUp
- Create and update budgets to allow for timely client approval for all appointments
- Submit requests to ADP/insurance companies to obtain General Liability or Workers' Compensation Certificates of Insurance as required for events
- Communicate with regional teams about relevant upcoming appointments
- Set up systems with screen fill, labels, and appropriate showroom settings for all newly received products
- Coordinate shipment of new products to TRM trucks and return of outdated/replaced systems from TRM trucks back to the warehouse
- Update North American and EMEA 1) inventory 2) sales-facing product lists and 3) product placement schematics each time a new product is added
- Create Calendly and Splash events for TRM appointments, monitor responses and inform hosts/client sales makers of RSVP status
- Update CMS and TeamUp with EMEA appointments
- Update CMS, pre
- and post-event, with appointment status and missing information
- Ensure each TR appointment is executed to standards, review post-event reports and sales makers surveys
- Report results of customer surveys and event photos to host sales makers
- Add post-event data, including photos, customer surveys, and sales maker's surveys to Box
- Train new staff on intake, setup, and breakdown processes
- Help staff troubleshoot equipment
- Communicate with truck teams for daily tasks, best practices, and truck/product maintenance issues
- Attend both TRM and VTR weekly client meetings
- Periodically test VTR to recommend updates or report needed updates
- Regularly communicates with Sr. Director regarding the productivity and efficiency of location operation, anticipating and troubleshooting for best operation.
- Displays sound judgment and effective interpersonal skills in communicating with internal and external customers, adjacent tenants, other agency staff and visitors to the Tech Rally Residency location.
- Plans events and work assignments with safety and security front of mind. Continuously assesses conditions to ensure individual and workplace safety and safety of vistiors and staff. Promotes visitor safety and building security. Assists with building evacuation if necessary.
- Produces regular reports to assist with analyzing location and overall performance to ensure stock levels of inventory and maximize interactions.
**MINIMUM QUALIFICATIONS
- Degree in marketing, events, PR, or equivalent experience
- 3 years' experience in event planning, experiential marketing, or comparable corporate environment
- Personable and professional communication acumen across all mediums
- Experienced in handling a wide range of administrative and executive support-related tasks, while working independently with little or no supervision
- Ability to travel as needed to support Tech Rally Mobile, anticipated 25%
- A valid passport and the ability to travel internationally as needed
**PREFERRED QUALIFICATIONS
- French and/or German language proficiency
- Previous experience in a roadshow or pop-up event
