We are looking for an experienced Executive Assistant and Office Manager for our premises in Milan.
As part of Kantar, you will support us to facilitate the CEO/Board/Extended Board activities and you will handle all activities linked to the office management, as well as supporting our HR department with some of the tasks.
KEY ACTIVITIES
- Support CEO and the Board members with meeting organization/schedule and general support
- Book business travel arrangements for senior management and other staff members
- Liaise with clients and business guests, organize events
- Handle office management responsibilities, such as office organization, project management, filling of documents and files (electrically and physically), etc.
- Maintain office correspondence and mails, cooperating with marketing for social media presence
- Handling HR tasks such as recruitment of the stage (included relationships and process with the universities) and support to the general recruitment process, supporting HR initiatives, coordinating the access to the "formazione finanziata" (learning and development funds from Fon. Dir.
and Forte) as well as the learning activities/meetings
- Responsible for the procedures for safety and security in the office (including organizing the learning activities around safety)
- Cooperate with the IT department to solve IT issues, when necessary
- Maintain a strong working relationship with other relevant departments
QUALIFICATIONS
- Professional standing and problem-solving
- Proficiency (written and spoken) in English and Italian
- Strong customer service and administration skills
- Deep knowledge in Microsoft Excel and Word
- Strong customer service and administration skills
- Outstanding communication and organizational skills (processing enquiries, booking, etc.
)
- Positive, flexible and proactive attitude, open to create new solution and improve processes
- Digitalization skills
