The colleague we are looking for The Executive Assistant works closely with the Managing Director to provide administrative and organisational support.
The Executive Assistant helps the Manager to make the best use of his time by dealing with secretarial, administrative and private tasks.
The Managing Director is travelling between different offices most of his time, therefore you should be available to travel abroad at least 50% of your time.
You expect you to be reliable and able to work very flexible hours; also to understand the need for confidentiality in all areas of work.
Your role will be to provide high level support to the Managing Director such as schedule management, management of correspondence and paperwork, expense control, handling internal and external enquiries.
To be successful in securing this role, you will be a genuine team player and have the proven ability to multi-task and prioritise.
Key Responsibilities: - Attending Management and Board meetings and writing minutes - Managing business schedules and making appointments; - Screening telephone calls, enquiries and requests, and handling them when appropriate; - Organising and attending meetings, and ensuring the manager is well-prepared for meetings - Handling a wide range of information requests; - Collecting information for reports; - Producing documents, briefing papers, reports and presentations; - Handling confidential information; - Arranging travel and accommodation and traveling with the manager to take notes or dictation at meetings and to provide general assistance during travel; The scope of the Executive Assistant's role can be extensive and additional duties may include: - Carrying out specific projects and research; - Responsibility for accounts and budgets; - Taking on some of the manager's responsibilities and working more closely with management; - Being involved in the decision-making process.
Requirements: Excellent command of the Mandarin language , both verbal and written Excellent command of the English language, both verbal and written 1-2 years experience in PA role or similar field Bachelor Degree Valid passport and ability to travel internationally 50% of time or more Previous travel experience preferred (professionally or personally) Driving license and proven driving skills Skills: - Excellent communicational and interpersonal skills - Excellent administrative skills - Flexibility and commitment - Interest in the Company's business and goals - Ability to handle multiple tasks, meet deadlines and work in a fast-paced environment - Good time-management skills - Tact, diplomacy and confidence Why work for us: Opportunity to travel worldwide Potential for rapid professional development working closely with the CEO of a multinational company Being a part of a diverse international team Involvement in decision making Great learning and growth opportunities
