Executive Assistant To C-Level Top Executives
BASIC PURPOSE OF THE JOB
This position provides support to the Group General Counsel and to a second C-level top executive in personal/administrative tasks and organizational management, acting as a focal point for all issues regarding planning of the executives daily engagements.
**MAIN RESPONSIBILITIES**:
- Act as the focal point of contact on behalf of the supported executives: screen and direct phone calls, filter requests, distribute correspondence and liaising with internal and external stakeholders on various projects and tasks;
- Manage of the daily agenda;
- Prepare presentation materials and background documents;
- Manage business travels and travel expenses record;
- Handle requests and queries appropriately, maintaining professionalism, strict confidentiality and discretion;
- Support the Corporate Secretary of the Board in the organization of the Company committees:
- Organization of members' travel and logistics
- Invitations and agenda
- Preparation and collection of documentation
BACKGROUND AND PRINCIPAL SKILLS REQUIRED
- Outstanding time-management skills and the ability to prioritize, organize and coordinate multiple tasks;
- Ability to work well with all levels of management, staff, departments and third parties;
- Ability to handle confidential information with discretion, to adapt to various competing demands;
- Ability to work independently;
- Proficiency in Microsoft Office, with aptitude to learn new software and systems;
- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge;
- At least 4-5 years of experience in similar role;
- Previous experience as Assistant in consultant or legal companies;
- University degree;
- Excellent written and verbal communication in English and Italian
