Executive Assistant To Ceo
Are you an organized, proactive, and adaptable professional with experience in Executive support?
The Executive Assistant will support the CEO and help manage the day-to-day operations of the executive office.
They will play a critical role in ensuring the smooth and efficient running of the CEO's agenda and business priorities related to the group. What you will do:Executive Calendar management: efficiently manage the CEO's calendar, scheduling meetings, personal agenda items, events, appointments, and travel.
Prioritize and organize requests, ensuring the CEO's time is optimized.
Act as a liaison between the CEO and other executives, employees, and external partners and their requests of meeting.
Manage emails, phone calls, and other forms of communication on behalf of the CEO. Organize travel arrangements, including flights, accommodations, itineraries, and other logistics. Prepare agendas, prepare PP presentation and take minutes, following up on action items from meetings.
Ensure the CEO is well-prepared for meetings with relevant materials and reports. Handle sensitive and confidential information with the highest level of integrity and discretion. Manage KG associates' travel and logistic needs: scheduling eventual translator, booking meeting rooms, helping with hotel and restaurant reservations. Krause Group Executive Admin point of contact and assist with President when in Parma with all logistics and operational activities/necessities.
Internal management of tickets for guests, internal associates, sponsors, includes all 'VIP' relations of the club: invitations to matches, events, Christmas gifts, etc. Managing ticketing for the VIP stand: gathering needs, supporting ticket issuance, distribution activities, identifying participants in coordination with the other Business Units.
What we're looking for:5-7 years of experience as an Executive Assistant or in a role that provides administrative and strategic support at a c-suite level. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Fluency in Italian English.
Excellent organizational, time-management, and intercommunication skills. Experience with travel coordination and logistics management. Expert level written and verbal communication skills.
Ability to handle sensitive and confidential information with the highest level of integrity and discretion. Ability to provide direction to others in organization so that tasks are executed correctly.
Ability to understand and work in a dynamic environment handling multiple priorities simultaneously. Ability to handle situations with poise and professionalism, proactive, resourceful, and positive attitude. Ability to anticipate and foresee needs of the leaders being supported.
