Facilities Administrative Support, Internship
Position Overview
The Facilities Administrative Support Intern is a support figure to the facilities team for R&M, cleaning and H&S activities for the Italian stores (3 RLS and 9 PFS), offices and showroom in Milan.
The main responsibilities of the figure are updating files (costtrackers, budgets, special projects, general store information, etc.
), following the administrative process in Ariba of POs and invoices in order to make sure to have all mandatory documents for H&S and to inventory and archive all facilities related documents for the whole department.
Essential Duties & Responsibilities
- Digitally inventorize and systemize all official documents of stores, showroom and offices in an ordered uniform way.
- Digitally inventorize all floorplans / electrical projects / HVAC projects of stores, showroom and offices in an ordered uniform way.
- Keep track of costs, PO's and invoices for stores.
- Ask for security documents to vendors and archive them in a structured way.
