Main responsibilities and activities In the Facility function, we are looking for a brilliant profile reporting to the Site Engineering & Maintenance Head with the following responsibilities and activities for Caronno Pertusella (VA) and Villanterio (PV) sites: Responsible for both strategic planning and day-to-day Facilities activities including but not limited to soft maintenance, cleaning, pest control, gardening, landscaping, catering, food and beverage, vending machine, fleet car management, laundries, technical clothing, stationery, printers' management, and space management. Manage stakeholders in line with contract KPI's to sustain and/or increase the level of services while seeking cost improvements where applicable. Guarantee housekeeping within the site. Supervise and coordinate work of contractors. Calculate and compare costs for required goods or services to achieve maximum value for money. Ensure the office buildings meet health and safety requirements and that facilities comply with legislation. Check that agreed work by staff or contractors has been completed satisfactorily and follow up on any deficiencies. Respond appropriately to emergencies or urgent issues as they arise and deal with the consequences. Assist during audit processes and provide audit reports with proper justification wherever required. Oversee and manage the capital & operational budgets. Ensure monthly invoicing is done on time as per agreed timelines and take signoff from respective leads. Ensure Quality and GMP guidelines by training and implementing down the line. Ensure adherence to Company Standard Operating Procedures. Support in the development and delivery of Service Plans and Key Work Objectives to meet ongoing and changing needs of stakeholders, clients, and customers. Review the current service supplier schedules and identify areas for improvement, working with the incumbent suppliers to create revised processes and schedules with clear all year-round improvements. Report on SLAs/KPIs in conjunction with the FM team. Assist with the preparation of contract documentation for Request For Information (RFI)/Request For Proposal (RFP). Support the FM management team in the preparation and management of budgets. Interact with other departments through the sharing of good practices and providing advice as necessary in a professional capacity. Undertake other duties within the scope of the Facilities function as requested by the Head of Facilities Management. Requirements Qualification/experience Bachelor's degree or equivalent (preference given to those with a degree in Facility Management, Logistics, or Engineering). 2-3 years' experience in Facility management services/business-oriented industries. Minimum of 2 years' experience of managing outsourced Facility contract management. Experience managing projects and working in international companies. Experience within a pharmaceutical company, food company, or manufacturer preferred. Experience managing company general services in international companies. High level of GMP knowledge and practices. Skills Ability to create strong networks within a matrix organization. Proactive, well-organized, and flexible. Excellent written and oral communication skills, including the ability to effectively communicate at all levels. Medium to high level of written and spoken English. Strong working knowledge of Microsoft Office. Strong level of customer-focused experience. Team player, service-oriented, supportive. Assertiveness and determination to achieve results.
