Global Consumer Team Assistant
The Global Consumer Team Assistant is responsible for providing administrative and operational support to the team, ensuring smooth execution of processes and facilitating interactions with key corporate functions.
This role requires excellent organizational and communication skills, as well as the ability to manage multiple responsibilities in an international environment.
MAIN ACTIVITIES AND RESPONSIBILITIES
• Event and Travel Coordination:Organize international travel for up to 14 team members. Plan and coordinate meetings and events, including:4 annual meetings (5-20 participants). 1 large-scale annual meeting (100 participants). • Financial and Administrative Support:Track and process team invoices, purchase orders (POs), budget tracking, agreements, and repositories of documentation in cooperation with Finance, Legal, Procurement, and Compliance. Manage corporate expenses for key personnel (Head of Unit, Head of Marketing & Digital, Head of Medical). • Corporate and Team Support:Provide support to expat team members with local administrative interactions. Assist team members with corporate services such as IT, phone, and car fleet management. Manage internal approvals and system entries for events, travel, and IT services. Oversee management of high-resolution graphics files and global rights for interaction with countries and service providers. Ensure availability of office supplies, including printer materials, stationery, and meeting room essentials like flipcharts and pens. • Additional Responsibilities:Support ad hoc projects such as materials printing. Take meeting minutes and facilitate communication between the team in Florence and international stakeholders. Collaborate closely with departments such as Travel, IT, Car Fleet, Finance, and Procurement. JOB REQUIREMENTSBachelor's Degree requiredFluent English speaker. Native Italian speaker. Strong organizational skills, particularly in project coordination. Excellent communication skills, including the ability to take meeting minutes. Proficiency in Microsoft Excel (XLS), PowerPoint (PPT), and PDF management. Strong teamwork skills, with the ability to coordinate with multiple departments.
