Global Procurement Supplier Onboarding Manager
POSITION TITLE:Global Procurement Supplier Onboarding Manager REPORTS TO: Director - Global Procurement Processes, Systems and Transformation BASED: Florence, Italy EXPECTED TRAVEL: 10% (occasionally)CONTEXT The Global Supplier Onboarding Manager is responsible for overseeing the end-to-end process of onboarding new suppliers across global markets.
This includes managing the integration of suppliers into the company's systems, ensuring compliance with company policies and facilitating smooth collaboration between internal teams and new suppliers.
The role is pivotal in ensuring that suppliers are efficiently and effectively onboarded while maintaining high standards of quality, compliance, and operational efficiency. MAIN ACTIVITIES AND RESPONSIBILITIESSupplier Onboarding Process Management: Lead and manage the global supplier onboarding process, ensuring a seamless transition for new suppliers into the company's supply chain ecosystem.
Work cross-functionally with procurement, finance, IT, compliance, ESG, HSE, quality assurance, and any other relevant departments to ensure suppliers are fully onboarded with all necessary processes and documentation.
Ensure the timely completion of onboarding steps, including supplier registration, and follow risk matrix process checks. Supplier Integration: Oversee the integration of new suppliers into the company's procurement systems, ensuring all data is accurately captured and suppliers are aligned with organizational procedures.
Coordinate the setup of suppliers in the company's Supplier Management System and ERP system and other relevant software tools.
Facilitate communication between the supplier and internal teams to ensure alignment on expectations, timelines, and project requirements. Risk Management: Ensure that new suppliers meet all standards based on the Risk Matrix Process required by the company and applicable local or international laws.
Manage and maintain records for supplier certifications, audits, and relevant documentation.
Identify and mitigate any risks associated with onboarding new suppliers, working closely with relevant teams to address potential issues. Supplier Training and Support: Provide training to new suppliers on company processes, systems, and performance expectations.
Offer continuous support during the onboarding phase to address any questions or concerns from suppliers.
Ensure that suppliers understand key performance metrics, quality standards, and reporting procedures required for a successful partnership. Cross-functional Collaboration: Work closely with internal teams (procurement, supply chain, IT, finance, HSE, ESG, compliance and quality) to ensure all departments are aligned on the supplier onboarding process.
Maintain communication with stakeholders and suppliers throughout the onboarding process to address any issues or changes. Continuous Improvement: Identify opportunities to improve the efficiency and effectiveness of the global supplier onboarding process.
Collect feedback from suppliers and internal teams to make recommendations for process improvements.
Drive initiatives to streamline and automate the onboarding process where possible, reducing time to market and enhancing supplier experience. Documentation and Reporting: Maintain thorough and accurate records of the onboarding process, including supplier status, documentation, and communications.
Generate regular reports for senior leadership on the status of new supplier onboarding, including any issues, timelines, and potential risks.
Track and report on key metrics for supplier onboarding, such as time to complete onboarding, supplier compliance, and system integration success rates. Supplier Relationship Management: Build strong relationships with new suppliers during the onboarding phase to ensure a positive, collaborative partnership.
Address and resolve any issues that may arise during onboarding, helping suppliers navigate company procedures and expectations. Team Management: Lead a Team of Supplier Management Specialists globally.
Upto 10 Team members. JOB REQUIREMENTSEducation: Bachelor's degree in Supply Chain Management, Business Administration, Procurement, or a related field.
A Master's degree or relevant certifications (e. g. , CPSM, CSCP) is a plus.
Years of experience5+ years of experience in supplier management, procurement, or operations, with at least 2 years of experience managing supplier onboarding processes on a global scale.
Experience with ERP systems, supplier management tools, and supplier integration processes.
Strong knowledge of global trade regulations, supplier compliance, and risk management principles.
Excellent Team Management experience for a minimum of 2 Years. Qualification and skills Excellent communication, negotiation, and interpersonal skills.
Strong project management skills with the ability to manage multiple suppliers and internal stakeholders.
Detail-oriented with the ability to manage complex processes and documentation.
Analytical mindset with the ability to track, measure, and report on onboarding metrics and performance.
Ability to work cross-functionally and coordinate efforts across different regions and time zones.
Strong problem-solving skills with a focus on process improvement and efficiency.
Proficiency in supplier management software, ERP systems (e. g. , SAP, Oracle), and Microsoft Office Suite (Excel, PowerPoint). Language skills and level of proficiency English is Mandatory.
Proficiency in multiple languages is a plus, especially if managing suppliers across diverse regions.
The Global Supplier Onboarding Manager will work in a fast-paced environment and must be able to manage multiple projects and priorities simultaneously.
The role requires flexibility to manage suppliers in different time zones and potentially high workloads during peak onboarding periods.
