Groups & Events Executive
PRINCIPAL ACCOUNTABILITIES:
- Work together with Executive Chef, F&B Department, Housekeeping and Lifestyle to monitor standards and services, suggest and implement necessary changes.
- Maintain mutual understanding with all other hotel departments.
- Keep and maintain the general filing systems as well as all other filings as designated.
- Provide the highest standards of service without sacrificing quality.
- Always maintain a professional image both in appearance/attire and conduct when dealing with the client and hotel ambassadors.
- Constantly communicate with other departments both verbally and in written form.
- Create and distribute BEO and GRC to the departments involved.
- Ensure distributed reports are up to date and as per hotel standard.
- Conduct site inspection with potential clients.
- Finalize all bookings maximizing all potential revenue through up selling in all revenue generating areas.
- Follow up with each group & event in order to build a business relationship.
- Ensure all information is detailed, correct and all billing arrangements are specified.
- Conduct competitive pricing analysis twice a year.
- Follow up on all changes, deletions, additions, and special requests.
- Excellent knowledge of hotel facilities and standard for meeting and events.
- Maintain the policies set out in the event sales contract (e. g. deposits, deadlines, billing instructions).
- Answer all telephone calls and enquiries about the event space for group & events.
- Ability to perform other tasks or projects as assigned by hotel management and staff.
- Ability to maintain a friendly, caring, and helpful attitude with customers and all hotel staff.
- Report directly to the Director of Sales & Marketing.
QUALIFICATIONS AND EXPERIENCE REQUIRED:
- Previous experience in a similar role, at least 2 years, in hospitality business
- Fluency in Italian and English. Third language is a plus.
- Excellent organizational and interpersonal skills
- Strong customer orientation
- Excellent negotiation and problem solving skills
