Hr Administrator ( Recruitment Support)
Octagon Professionals is seeking a highly organized and detail-oriented HR Administrator (Recruitment Support) to join the dynamic HR Support Service Division at the European Space Research Institute (ESRIN) in Frascati, Italy.
This position is crucial in providing operational support to ESA's recruitment processes, contributing to the selection, relocation and onboarding of top talent for exciting space-related projects and programs.

Responsibilities include, but are not limited to: Manage standardized communication with potential applicants ESA-wide, mainly by handling the mailbox, and in the future by taking care of the non-IT parts of new communication means such as an AI chatbot; Prepare and publish Job Requisitions using SAP SuccessFactors; Carry out initial screening of applicants according to formal criteria (note: candidate selection is managed by selection boards); Arrange job interviews and their follow-up with the relevant interview board; Manage candidates via the SAP SuccessFactors candidate pipeline, covering all statuses from new application to hired; Handle individual and specific communication with candidates; Arrange pre-recruitment security checks for selected candidates; Trigger the services of third-party suppliers (e. g.
relocation/housing providers) including the management of related purchase orders; Basic HR-related onboarding of new hires.
Requirements: Bachelor's degree in Business Administration , Public Administration , Human Resources , Finance , Informatics , Engineering , or a related field.
Minimum 4 years of relevant experience in HR or recruitment support.
Previous experience with recruitment activities and tools is required.
Familiarity with SAP SuccessFactors (RCM/RMK/ONB modules).
Proficiency in Microsoft Office/Office 365 applications (Word, Excel, etc. )
and Adobe Acrobat.
Advanced skills in Excel and experience with Business Intelligence (BI) tools (e. g. , PowerBI, Tableau) are strong assets.
Fluency in English (written and spoken) is required; knowledge of French is an asset.
Strong discipline, professionalism, and attention to detail.
Excellent organizational and communication skills.
Must be eligible to work in the EU.
