**Job Purpose**:
- Responsible for managing the daily HR activities.
Deliver effective support to the HR Director and the wider business, ensuring operational excellence across all aspects of the HR Department as well as ensuring the HR Operating Model is embedded successfully.
**Responsibilities**:
- Supporting for overseeing issues related to employment, compensation, labour and employee relations.
Focused on improving HR policies, processes, and practices and recommending changes to HR management.
To ensure efficient operations through data analysis and reporting.
- Assist with the recruitment process by managing the approval requests of the vacancies in the Talent Acquisition system.
- Manage the administrative tasks of new employees such as employment contract, onboarding, extension letters, terminations, ensure that payroll provider has done the proper communications to the CPI, registration in the single Worker's Book (Libro Unico).
- Collect the monthly variations to insert in the payslips (new hires, terminations, organizational changes, holidays, annual bonus for all and mid-year bonus, ticket rest) and check that all of them are properly inserted in the payslip draft by processing them with accuracy every month by, giving support to Finance Department.
- Review contracts for promotions, transfers, and new hires in collaboration with HR Director and HRSS.
- Support the HR Director on updating the CBA mandatory salary increases file for Italy
- Coordinate the welfare plan and benefits with insurance companies and benefit providers and advise employees on company benefits.
- Collaborate with HRSS to maintain an up-to-date, accessible, and accurate HR records, maintain locally digital copies of employees' records.
- Placing purchase orders, ensuring accuracy and compliance with purchasing, and billing standards, keeping, liaise with the local Legal Department to review the draft of new contracts/renovations/terminations/annexes with external providers.
- Manage training records with all courses attended by employees of the Company.
Evidence of participation by producing a certificate/attendance sheet and when available slides of the courses and ensure that training objectives are met.
- Coordinate HR training sessions and seminars, schedule meetings, interviews, HR events and agendas.
- Manage the essential Health and Safety requirements for the employees (risk assessment, medical examination for office base by arranging appointment's and data recording).
- Consult regularly with management and provide guidance when appropriate.
Advise with internal and external HR related inquiries or request.
- Support HR Director in the performance management cycle processes regarding performance development reviews, performance improvement activities, personal development planning, objectives setting, etc.
- Collaborate within the HR department, HRSS and COEs to develop policies, programs, and solutions.
- Ensure regulatory compliance with legal requirements pertinent to the day-to-day management of employees; collaborate with the legal department to support internal/external auditing and reporting requests as required and review data for accuracy.
- Manage internship agreements with Universities, Business Schools etc;
- Produce and submit reports on general HR activity.
- Keep up to date with the latest HR trends and best practice.
- Build a strong relationship with the Business and all employees.
- To be aware of Kyowa Kirin Group Code of Conduct and associated policies and procedures and other applicable laws, codes and regulations.
- Comply with the Kyowa Kirin competences, in terms of expected values and behaviours, in addition to Kyowa Kirin policies, procedures and guidelines.
Qualifications:
- University degree.
Higher degree or equivalent in human resources, e. g.
Business school graduation/Master in HR would be an advantage.
- Good level of English required on mandatory basis (oral and written).
Desirable Spanish language.
- Good knowledge of Microsoft Office (especially Excel), IT tools and Database Management Systems
