**JOB SUMMARY
To provide high quality support to the HR Department assisting with the appropriate tasks in all HR and Health & Safety Program activities.
**DUTIES AND RESPONSIBILITIES
Assist with needs/tools to include reports, presentations, spreadsheets and any other required HR confidential data, including but not limited to offer and promo letters, employment agreements, Job Description, Life Insurance programs and any other related HR activities.
Regular update of head count and Org Charts
Coordinate, organise and prepare all necessary information (pre and post) for both internal and external HR meetings and workshops. Book rooms and off-site, arrange refreshments, communicate with internal and external teams regarding details
Coordinate Supervisor's itineraries, diary management and travel arrangements
Organise and prepare Supervisor's expense reports, collate and manage receipts
Liaise with both external and internal people of all levels
Regular communication to Oracle teams of any HR change in the Ibo, Ebo and Portugal Office
Support the Ibo/Ebo/Portugal community with assistance in TMS and/or Oracle and any related questions
Coordinate general administration (post, faxes, photocopying, stationary ordering, etc).
Organise the set up for new hires - Communication to the Oracle teams, AIN release, arrange IT part, prepare documentation and guidelines according to the requested procedures.
Organise medical visits - according to the Health & Safety Program - keeping appropriate records.
Organise the requested Health & Safety courses keeping appropriate records.
Liaise with any other Health & Safety provider to carry out the Health & Safety Program.
May be involved in business travelling based on Company's needs.
High level of confidentiality is requested in carrying out all the activities.
