The Opportunity We are seeking a dynamic and proactive HR Assistant to join our EU People Team.
This role offers the opportunity to support and drive the alignment of human resources priorities with Arup's business strategy and culture by delivering comprehensive and sustainable human resources programs.
The HR Assistant provides administrative support to other HR professionals in assisting with the recruitment and onboarding process, supporting payroll and benefits process, maintaining accurate employee records and managing internal and external communications for the human resources department.
As an HR Assistant at Arup, you will: Perform administrative duties, such as maintaining employee databases and sorting emails for the People department. Maintain proper records of employee attendance and leave to assist with payroll duties. Assist in policy formulation, hiring and salary administration. Submit online job postings, shortlisting candidates and scheduling job interviews (if needed). Coordinate orientation and training sessions/seminars for new employees and staff members. Serve as a point of contact, providing smooth communication with employees and timely resolution to their queries. Manage and coordinate schedules for the People department, including meetings and events. Ensure compliance with employment and labour laws. Prepare files and forms for new employees, updating employment statuses and helping new employees access the resources they need to do their jobs. Sort and update records, dispose of old records properly and contact employees to update their contact information and other key documents. Does this role inspire you? Ability to prioritize and resolve employees' problems. Familiarity with database systems and common HR applications. Understanding of employment laws and regulations as well as industry-specific regulations (CCNL Conf-commercio). Effective organizational and time management skills. Ability to meet tight deadlines and juggle multiple projects. Strong written and verbal communication skills. Strong interpersonal skills. Strong ethics and practice discretion when keeping data private. Bachelor's or master's degree in human resources, personnel management or business administration or relevant field. Knowledge of various procedures for hiring, promoting and terminating employees. Knowledge of HRIS, data entry accuracy & database maintenance.
