We are looking for an experienced Back Office Manager.
You will help improve the workplace so that great work can be done and business processes are conducted properly.
The resource will report to General Management and will help with administrative and financial functions.
They will collaborate in the eventual improvement and updating of company procedures, too.
Main areas of activities:
- Customer service and web Inquiry management,
- Management, customer/external reception,
- Orders management,
- Back office and data entry activities supporting the commercial and R&D team.
- Management of relations with Accountant, labor consultant and various agencies/offices,
- Assist accountants with VAT reviews at the end of the financial years,
- Management of invoices to customers and suppliers,
- Management of facilities in the office, from organizing cleaners to weekly ordering supplies,
- Office operations like maintenance, mail, supplies, equipment,
- Organize schedules, meetings, and appointments,
- Make sure the bookkeeping is up-to-date,
- Keep a record of procurements and pay bills when due,
- Ensure that all purchases are in budget and approved by a senior member,
- Ad-hoc administrate when needed,
- Keep the office up-to-date with policies,

Background:
- 3+ year(s) experience in managing office,
- A proven track record of handling a variety of administrative tasks,
- Sound knowledge of office management systems and procedures,
- Ability to ensure the correctness of accounting and supporting documents, compliance with laws, and conformity of transactions carried out,
- Excellent organizational skills,
- Experience in dealing with international customers and their requests,
- Outstanding communication and negotiation ability,
- Flexibility: able to adapt in a contest of constant change and growth,
- Project management skills are a plus,
- Analytical and synthesizing skills;
- Aptitude for problem solving; autonomy and resourcefulness;
- Leadership skills and predisposition to work in startups and growth-stage companies;
- Excellent skills in the use of Pc, Office Package, CRM and Management Softwares;
- Ability to work independently with little or no supervision;
- Excellent verbal and written communication in italian and english languages.
**Requirements**:
- Education: degree in relevant fields.
- Work experience: at least 3 years in medical field, in innovation contexts with communication or project management tasks in close contact with top management roles in the company organization
- Languages: fluent knowledge of both Italian and English.
Knowledge of the Russian language is a plus.
