Role The Human Resources Operations Europe Unit is composed of two teams: Human Resources Operations and Human Resources Services.
This role is within the Human Resources Operations team.
Based in Rome, Italy, at the Alliance Headquarters, and under the supervision of the Human Resources Manager, the Associate, Human Resources Operations Europe will play a critical role in coordinating and supporting Recruitment, Talent Management, Onboarding and Offboarding activities, and in general the implementation of HR policies and processes.
Responsibilities Recruitment and Selection • Be a Business Partner for the Units in own portfolio, by aligning, guiding and communicating with Managers and staff, anticipating personnel needs of the Units.
• Collaborate with hiring managers to review, refine, and finalize job descriptions for accuracy and alignment with organizational needs.
• Guide hiring managers to fill the Request for Position (RFP).
• Develop and update job advertisements using Hosted organization and Alliance templates, ensuring compliance with organizational standards.
• Screen resumes and applications, identifying the most suitable candidates for further evaluation.
• Schedule interviews, manage logistics, and liaise with candidates and interview panels to ensure seamless processes.
• Prepare and manage recruitment materials, ensuring they are posted to relevant job boards, newspapers, and platforms with a specific focus on Hosted organizations.
• Conduct thorough reference checks for shortlisted candidates, ensuring the integrity of the recruitment process.
Onboarding and Offboarding • Coordinate onboarding processes to ensure new hires are equipped with the necessary resources and information.
• Facilitate offboarding processes, including exit interviews, clearance documentation, and updates to employee records.
Talent Management and Development • Support managers in the performance appraisal process, ensuring timely feedback and alignment with organizational objectives.
• Support implementation of the probationary process, ensuring clarity for both managers and employees.
• Identify staff training needs, coordinate learning opportunities, and support the implementation of development initiatives.
• Assist in coordinating staff well-being activities, such as team-building events, webinars, and others.
Policy Implementation and Awareness • Monitor and ensure full compliance with organizational HR policies, standard operating procedures, and applicable labor regulations across all HR operations.
• Provide timely guidance to staff and management on policy updates or clarifications.
• Work closely with the Center of Excellence and other HR colleagues to implement HR initiatives effectively.
• Ensure full compliance with the Service Level Agreements agreed.
HR Operations • Collaborate with the HR Services Associates in the employment contract renewals, ensuring managers are fully updated and informed on the process and the requirements.
• Act as a primary point of contact for employee inquiries, providing accurate and supportive information regarding employment terms, HR policies, and grievance procedures.
Collaborate with relevant stakeholders to address and resolve employee concerns in a timely and respectful manner.
• Support the facilitation of grievance handling processes, ensuring fair and consistent resolution of employee concerns while fostering a positive work environment.
Escalate complex cases to senior HR management as needed.
• Collaborate with Centers of Excellence and local HR representatives to implement HR operational initiatives effectively.
This includes streamlining processes, adopting best practices, and ensuring that organizational goals are met.
• Ensure and facilitate effective communication between the HR team, management, and employees to ensure smooth execution of HR processes, including transitions, renewals, and other operational activities.
• Offer training sessions or informational resources to employees and managers on HR policies, procedures, and updates to enhance organizational understanding and adherence.
Meetings and Coordination • Maintain schedules and coordinate activities for weekly HR Operations meetings.
• Perform other tasks requested by supervisors, if/when needed.
Requirements Requirements • Bachelor's degree • Preferably 2 years of previous experience in Human Resources Operations.
• Proficiency in HR software systems and MS Office applications.
• Ability to handle confidential information with discretion.
• Knowledge of local labor laws and HR compliance requirements.
• Well-developed skills in personal organization, attention to details and accuracy. • Solid interpersonal, communications and teamwork skills; courtesy and tact, and the ability to establish and maintain effective working relationships with people of different cultural and national backgrounds. • Excellent client orientation and service approach.
• Excellent knowledge of the English language, written and spoken.
• Working knowledge of the Italian language is desirable.
Benefits Terms of employment This is a nationally recruited position, based in Rome (Italy), open only to internal candidates, namely: regular staff members, complementary staff members and individuals who are currently employed or have completed a contract with Bioversity in the last 6 months.
The position BG6 level, on a scale of 14 levels, with level 14 being the highest and the salary range starts from Euro 43, 310.
The remuneration package includes a competitive salary, leave provisions, medical and life insurance, and non-contributory retirement plan.
The contract will be for a period of 2 years, subject to a probationary period of 6 months, and is renewable subject to performance, project needs and availability of funds.
