This is a Maternity Leave position for a Marketing and Sales Lead Coordinator based in Siena

Part of the Commercial operations Italy team, this role coordinates a variety of critical business functions in support of the Marketing & Sales team, such as promotional and communications campaigns, learning and development, KOL engagement, event planning, team alignment, contracts and compliance.

Manages projects to ensure on-time implementation and completion according to KPIs and within budgeted costs.

Manages document preparation including contracts, provides business administrative duties to ensure M&S processes run smoothly.

Responsibilities include:

- Coordinates Marketing & Sales core business processes

- Participates in development of promotional campaigns in support of marketing objectives, defining and implementing marketing strategies/tactics for existing and new products

- Collaborates across Marketing and Sales teams to create communications strategies that support marketing campaigns

- Works collaboratively to develop contents and communications program

- Drives the execution of the internal Copy Clearance marketing activities approval process through Veeva Promotional materials (and/or alternative processes if any)

- Manages and executes AIFA approval processes for promotional materials and congresses uploading the required documentation in the specific platforms

- Keeps cost tracking

- Manage and execute EFPIA reporting according to Global guidelines

- Coordinates Marketing & Sales projects to ensure on-time completion according to fixed KPIs and within budgeted costs

- Supports preparation of annual project budgets, project timelines, scope documents and relevant project documentation

- Monitors project progress against timelines, budget and quality requirements and prepares/updates routine status reports

- Provides input to resolve project issues and prepares and consolidates material(s) for project review meetings

- Supports project close out process to ensure completion of lessons learned process and project summary reports

- Executes strategies and tactics for events, congresses and conventions

- Manages and plans event logistics in conjunction with internal team, external consultants and meeting planning agencies

- Collaborates with internal parties (medical affairs, regulatory, sales, finance, etc. )

to optimize processes and ensure success of all events

- Monitors industry developments related to educational events and incorporates regulatory developments and new technologies into future events

- Prepares event budgets and forecasts, and compiles summaries of total event costs

- Manages and executes AIFA approval process for congresses uploading the required documentation in the specific platforms

- Keeps cost tracking

- Prepares contract proposals, working with cross functional stakeholders to ensure alignment with goals and objectives

- Evaluates contract compliance and advices on contractual rights and obligations, collaborating with cross functional stakeholders as needed

- Provides upload on Companion

- Oversees the vendor creation process when necessary with Global Procurement, raises and processes purchase requisitions, monitors purchase order open items according to the planned deliveries

Qualifications and experience:

- Bachelor's Degree required, preferably in Life Sciences or Business/Marketing

- English proficiency

- 3-5 years' pharmaceutical, biotech or healthcare industry experience

- Knowledge of the pharmaceutical market and regulation
