Marketing Communications Events Manager

Role We are seeking a Marketing Communications Event Manager responsible for planning, coordinating, and executing events such as conferences, trade shows, corporate meetings, product launches, and event sponsorships.
This role involves close collaboration with internal and external clients, PR agencies, journalists, event organizers, vendors, and internal teams to ensure smooth event execution and achievement of objectives.
Responsibilities Event Planning & Coordination: Develop event concepts based on company goals.
Develop a briefing and secure stakeholder approval.
Plan logistics, including venue selection, catering, transportation, and entertainment.
Create detailed event timelines and schedules.
Arrange space / booth bookings and contracts.
Budgeting & Financial Management: Develop and manage event budgets.
Negotiate contracts with vendors and suppliers, maximizing value for sponsorship fees and investment at shows.
Track expenses to ensure cost-effectiveness.
Vendor & Stakeholder Management: Liaise with trade show organizers and booth design agencies.
Negotiate with event organizers to maximize value from sponsorship packages and agreements, securing the optimal location for our booth and branding/visibility opportunities.
Coordinate with caterers, decorators, security, and audiovisual teams.
Secure sponsorships or partnerships where necessary.
Liaise with caterers, decorators, security, and audiovisual teams.
Coordinate with speakers, performers, or special guests.
Marketing & Promotion: Develop event marketing strategies (social media, email, advertisements) and link tradeshows to our digital platforms to generate traffic and commercial leads.
Oversee attendee registration (if applicable).
Ensure brand consistency in promotional materials.
Create activations to drive traffic to our booth to increase business opportunities.
Logistics & On-Site Execution: Oversee event setup, execution, and teardown.
Manage on-the-day operations and troubleshooting.
Ensure adherence to safety and compliance regulations.
Post-Event Evaluation: Gather feedback from attendees and stakeholders.
Debrief and analyze event success and areas for improvement.
Collect images, videos, and footage for post-show communications and reporting.
Essential requirements Bachelor's degree in either Communications, Event Management, Hospitality, Marketing, or related field.
Minimum 5 years' experience in either event planning, project management, or hospitality.
Strong problem-solving skills, with demonstrated ability to find creative solutions.
Previous experience of budget management and financial planning.
Evidence of strong organizational and multitasking skills.
Excellent communication and negotiation skills.
Demonstrated ability to work under pressure and meet tight deadlines.
Fluency in English (written and spoken).
Flexibility to travel within Europe to attend events (40%) Flexibility to adjust working hours, as needed, especially before and during events.
