Office Assistant (L. 68/99)
Maintain an amazing office environment! Ensuring a highly efficient and enjoyable working environment for all Miniclip staff and visitors. This means ensuring that the office is maintained to a high standard, well equipped, and properly stocked at all times. Provide support to employees by addressing inquiries, resolving issues, and assisting with various administrative tasks. Act as a point of contact for employees seeking assistance or information. Coordinate travel arrangements for employees, including booking flights, accommodations, and transportation. Ensure all travel-related documents and itineraries are organized and provided in a timely manner. Support the office manager in managing and overseeing the cleaning team to ensure the office is maintained in a clean and orderly condition. Receiving and distributing post and deliveries. Use creativity and innovation to assist in planning and organizing office events, including meetings, celebrations, and team-building activities. Collaborate with team members to generate ideas, coordinate logistics, and ensure events run smoothly. Assist with merchandising activities, including ordering and organizing office supplies, promotional materials, and branded items. Maintain inventory records, track usage, and coordinate with suppliers as needed. Assist the office manager to ensure a safe, tidy and functional work environment for all employees. Assist with the onboarding process of new employees, including preparing workstations, coordinating IT setup, and facilitating orientation programs. Manage and maintain various office systems, including phone systems, copiers, printers, and other equipment. Coordinate with IT support as needed. Uphold a high level of confidentiality and discretion when handling sensitive information and documents. Additionally, the Office Assistant must cover for the Office Manager when he/she is absent from work. What are we looking for? Experience as an office assistant or relevant administrative role. Creativity and ability to think outside the box for event planning and company activities. Proficient in using office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Detail-oriented with a focus on accuracy in completing tasks. Proactive problem-solving skills and the ability to adapt to changing priorities. Strong organizational and time management skills. Excellent verbal and written communication skills in English. Strong interpersonal skills and the ability to work well in a team environment. Familiarity with office equipment, such as printers, scanners, and photocopiers. Ability to maintain confidentiality and handle sensitive information with discretion. * The candidate must belong to the Protected Categories L. 68/99
