The Role We are seeking an experienced Office Coordinator to join our dynamic team in Milano.
The Office Coordinator's primary focus will be to ensure the smooth functioning of both the front desk and back office, enhancing the overall efficiency and guest experience.
As the Office Coordinator at Balich Wonder Studio, you will play a vital role in maintaining the office's day-to-day operations.
Your responsibilities will range from welcoming visitors and employees to optimizing the back-office processes.
The ideal candidate will combine a friendly and attentive attitude with a keen eye for detail, ensuring a seamless and efficient office environment in our dynamic setting.
Key Responsibilities: Front Desk Management: Greet and welcome visitors, employees, and directors with professionalism and warmth.
Anticipate and cater to the needs of guests and directors, ensuring a high level of satisfaction.
Manage inquiries and provide accurate information or direct them to the appropriate personnel.
Ensure the front desk area is organized, tidy, and presentable at all times.
Back Office Organization: Oversee and streamline office processes to enhance efficiency.
Maintain office records and documents with a strong attention to detail.
Coordinate with various departments to ensure correct functioning of the office spaces.
Coordinate with suppliers to guarantee correct office storage.
Assist in scheduling appointments, meetings, and any kind of arrangement.
Handle incoming and outgoing mail, packages, and courier services.
Team Collaboration: Collaborate effectively with colleagues and teams to support if needed.
Flexibility and Adaptability: Quickly adapt to changing priorities and manage unexpected challenges.
Play a role in maintaining a dynamic and positive office atmosphere.
Requirements Minimum of 1/2 years of relevant experience as an Office Coordinator or in a similar administrative role.
Strong organizational and multitasking skills.
Good knowledge of English language.
Exceptional communication skills, both verbal and written.
Proficiency in office software and tools (e. g. , Microsoft Office suite).
Attention to detail and a commitment to accuracy.
A warm and welcoming attitude with a focus on guest satisfaction.
Ability to work effectively in a dynamic, team-oriented environment.
