Office Manager
OFFICE MANAGER - Part - time (21 hours per week)

- An exciting opportunity has arisen for an Office Manager to join a dynamic and fast-paced global company on a part-time basis (21h per week), in our central Milan office.
- You will report to the Country Manager and provide support to the team by ensuring we have a first-class, unique environment.
**The job**:
- Ordering front office supplies, keeping inventory of stock and proper organisation of the office devices, stuff and personnel.
- Manage all office administrative activities, deliveries and shipments, ordering of office supplies, front desk tasks, welcoming guests and providing general support to visitors and personnel.
- Maintain the office condition and arrange necessary repairs
- Coordinate with IT department on all office equipment, personnel company devices (meeting rooms, devices, etc. ) and tech related needs.
- Coordinate with HR on the onboarding/offboarding of new employees and support with HR tasks locally (e. g. meal vouchers monthly ordering).
- Coordinate with Procurement and Finance for contracts related topics and local activities agreed rates and payments.
- Liaising with the caretaker for the health and office landlord staff for office related topics, with external suppliers for security and other company needs.
- Organisation of events, team lunches or dinners, ad hoc caterings and other team activities.
- Support the Country Manager by assisting with expense reports, travel organisation, diary management and monthly timesheets.
- Coordinating the weekly team meeting by preparing the agenda, working with the team to get material ready on time, following up on action items.
- Coordinating the communications for the Italian team.
- Other ad hoc tasks and projects to support the CM or the team (e. g. documentation, payments, notary, post office, etc. ).
- Be the main POC for other countries' colleagues visiting local office and keeping the travel guide up to date.
**Desired skills and experience**:
- Office Support/management experience in a fast-paced, dynamic environment is required.
- Excellent verbal and written skills
- Super organised and is always one step ahead.
- Excited about the contribution you can make to Outbrain.
- High level of attention to detail and discretion
- Remains calm under pressure and is a people person.
- English level (at least B2) and knowledge in Excel, Word and Powerpoint
