The company has 5 sales offices, 1 R&D center, 5 laboratories, and 3 manufacturing plants, with over 800 employees worldwide. To support the growth of their headquarters, they are seeking an:Office ManagerKEY RESPONSIBILITIES:Create a welcoming and positive office environment for guests and employees at the global headquarters;Manage office operations, including mail services and local supplier management;Ensure health and safety processes are followed in the office;Provide scheduling and travel planning assistance to the Group CEO;Assist the CEO and select senior management members (2 – 3) in preparing monthly travel expense reports;Coordinate and manage group events, including logistics for board meetings, management workshops, both locally and abroad;Oversee general office administration to ensure facilities are well-maintained and fully operational;Handle professional correspondence, phone calls, and emails in English with clarity and professionalism;Manage meeting logistics, calendars, and travel arrangements for executives and staff;Assist in preparing business documents, reports, and presentations for internal and external stakeholders;Track and process office expenses and invoices to support financial and budget management;Supervise office staff and delegate administrative tasks for efficiency;Organize internal events for management meetings, ensuring a professional approach. QUALIFICATIONS AND EXPERIENCE:Minimum 3 years of experience in office management or executive assistance;Proven experience in an international or multinational corporate environment;Fluent in English (business level), additional language skills (e. g. , Italian, French) are an advantage;Strong organizational and multitasking abilities with a proactive, solution-oriented mindset;Excellent written and verbal communication skills in English;High attention to detail, professionalism, and discretion with sensitive information;Experience in event management is highly desirable;Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management tools;Bachelor's degree or equivalent professional experience in a relevant field.
