Office Manager and Executive AssistantThe Office Manager and Executive Assistant is a dual-role position responsible for overseeing office operations while providing comprehensive support to the executive team. Your role requires a high level of discretion and professionalism. This role requires a highly organized, proactive professional capable of managing a variety of administrative and operational tasks. The successful candidate will ensure that office workflows run efficiently and will help streamline the executive's work by handling schedules, communications, and special projects. Key Responsibilities:Office ManagementOffice Administration: Oversee all administrative functions to ensure smooth daily operations, including managing office supplies, equipment maintenance, and vendor relationships. Reception Duties: Serve as the point of contact for clients and visitors, answering calls, and managing correspondence. Facilities Management: Ensure the office environment is clean, safe, and conducive to productivity by coordinating with facility services and organizing repairs or maintenance as needed. Event Coordination: Plan and coordinate company meetings, team events, and other in-office activities to foster a positive work environment. Documentation: Maintain organized and accessible records, including company policies, procedures, and employee documents. Project Support: Provide administrative support to various departments as needed. Executive AssistanceProvide high-level administrative support to the executive team, including calendar management, meeting coordination, and travel arrangements. Prepare reports, presentations, and correspondence on behalf of the executive. Serve as the first point of contact for internal and external inquiries directed to the executive team. Handle confidential information with discretion and ensure timely follow-up on action items. Manage and prioritize the executive's email, responding on their behalf when appropriate. Skills and Qualifications:Bachelor's degree in Business Administration or a related field (or equivalent experience). 2 years of experience in office management and/or executive assistance roles. Fluent in English. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Excellent written and verbal communication skills. Problem-Solving: Proactive in identifying and solving issues before they escalate. Time Management: Strong organizational and multitasking abilities, with attention to detail.
