Office Manager (Maternity Cover)
The **Office Manager **provides support by executing daily operations systems, procedures, and policies, monitoring and executing key administrative tasks while increasing efficiencies wherever possible The position holder is required to be resourceful, proactive and up for a challenge The Office Manager is the go-to person for employees and visitors
**Resposibilities**:
- Play a large role in office moves and facility adjustments
- Liaise with internal and external colleagues and business guests.
- Order furniture, office supplies and equipment to support a growing team
- Manage and keep Docebo office space in good working order
- Be the first point of contact for cleaners and suppliers
- Help maintain a state-of-the-art office environment
- Proactively identify, analyze, report on solutions for any/all operations challenges
- Manage, track, and maintain office inventory
- Manage the General Services for the site coordinating with external vendors for what concerns ordinary and extraordinary maintenance.
- Ensure adherence to office-based Covid policies and procedures
- Ensure the office meets health and safety requirements and that facilities comply with the local legislation.
- Address employees query regarding office management issues
- Support the local executive team members in meeting the administration/office requirements
- Manage travel arrangements (both domestic and international) for the staff
- Work well in a team, contributing to a synergistic work environment where people learn from one another and continuously improve processes on behalf of our clients
- Contribute to a team effort by accomplishing related results as needed
- Act as our first point of contact for incoming telephone activity, screening and directing all incoming telephone calls to the appropriate departments and people and welcome external visitors
- Process credit card payments
- Assist with the organization of small company events
- Special projects or initiatives on an ad—hoc basis
**Requirements**:
- 3-5 years, prior experience in a fast-paced, high growth office management role
- Opening and scaling offices experience is a plus
- Superior organizational skills, integrity, and impeccable task follow-through
- Agile - you embrace change and can absorb new information with ease
- Excellent time management skills
- Exceptional communication skills, written and verbal
- Discretion
- High proficiency using computers (typing, quickly navigating between various software tools)
- Accuracy and attention to detail
- Ability to think critically
- Bright and positive attitude
- Cool and calm under pressure
- Inclination and desire to continuously improve inter-office processes/efficiencies and provide support wherever needed
- Fluent in English
