Office Manager
**Location: This role will be based at our Milan Office
As Office Manager, you will be the 'heart and soul' of the team, responsible for ensuring that everything runs smoothly and your colleagues have everything they need to succeed.
Working closely with the Country Manager and the HR team, this is a varied and interesting position and requires someone with a flexible, proactive and supportive approach.
In this role, you will report directly to the Country Manager for Italy.

**Roles & Responsibility
Administration and Facilities Management
- Responsible for all office-related needs (ordering office and food supplies, etc.
)
- Receiving and organising all paperwork, contracts, invoices, etc.
- Responsible for managing the postal and cleaning services
- Supporting IT with ordering company equipment
- Organizing team activities ("Ebury events" such as the famous Ebury Christmas Party, sporting events, etc.
)
- Supervising and monitoring the work of cleaning and reception staff
- Support and participate in engagement and recognition of new and established employees (creation and distribution of anniversary gifts; arrange and host social events to acknowledge important milestones, etc.
)
- Assist with document translation or marketing initiatives as and when required
- Managing guests visits (agendas, catering, reservations, other requested services)
- Ensure payment of office invoicing
- Support on other duties as and when required by the business
- Liaise with the landlord and management of the lease agreement
- Management of external service provider contracts
- Compliance with Health and Safety and Fire Safety standards
- Responsible for running the new employee induction program including issuing employment documents and related administrative matters (IT, phones, office supply, etc.
)
- Onboarding / offboarding of our employees
- Local HR support for the teams
- Management of monthly payroll additions and verifications
- Assisting the Central HR function with employee engagement initiatives
**About You
- Highly organised with strong communication skills
- Previous experience as an Office Manager with HR responsibilities for an Italian company
- A positive, flexible and supportive approach
- Experience in organising small events (lunches, after-works etc.
)
- Able to work autonomously and use your own initiative
- Fluent (working proficiency) in English
- Fluent Italian
