Operational Project Officer

Gorgonzola hosts Navigations Air Systems (NAS) domain.
The activity of NAS domain: avionics, navigation and radar systems for civil air traffic and technologies supporting the activities of civilian and military pilots, ATC controllers and technicians of several airlines, air traffic control agencies and Air Force around the world.
Italy is the Group's Competence center for the design, production and delivery of Navigation Aids products and Competence Centre for the delivery of non-Radar Surveillance Products.
**_JOB OBJECTIVE _
- Performs sales and order administration activities: mainly quotations, pricing, order management, draft invoicing, materialization, loading of specifications into ERP.
- Understands and qualifies internal and external Customer requests
- Dispatches the requests within the Thales organization to the appropriate teams.
- Manages purchase/contract requests, ensures key milestones are processed and completed on time in full.
**_KEY RESPONSIBILITIES _
- Books and verify the customer order versus the data recorded into ERP
- Verify the customer order against Thales quote or contract
- Updates the sales plan in coordination with FIN and PM team
- Updates the sales & operations plan (S&OP), in coordination with the PM, FIN & sales team
- Updates Customer data into the ERP (delivery address, bank details, applicable contracts, )
- Monitors the status of orders and the need-by-dates
- Accurately maintains customer database, main registries and archives of sales contracts
- Manages and tracks receivable and overdue in coordination with PMs and Finance
- Manages and tracks Good Receipts for non-codified items, in order to assure prompt payment of suppliers
- Prepares and manages the Minutes of Meetings for the A2 Monthly Reviews
- Prepares draft invoices according to Italian/EU/World fiscal rules
- Supports all delivery and export documents respecting the relevant export and customs regulations, especially for military equipment
- Supports financial contract clauses e. g.
Letter of Credit
- Issues and follows-up tracking of customer invoices incl.
Complaint management
- Cooperates with Finance department to resolve invoice and cash-in management, including generation of reports
- Cooperates with Finance department to monitor the evolution of the value of the stock including generation of reports
- Ensures that inquiries are resolved and provides assistance in any necessary escalation.
- Supports Sales/After Sales and Controlling Teams in ad-hoc analysis and improvement processes
**_SKILLS, EXPERIENCE AND QUALIFICATIONS _
**Experience**:
Junior/Mid position with 2-4 years' experience
Good knowledge of Microsoft Office suite, especially Excel spreadsheets
Knowledge of ERP system like OCM, SAP,
Education
High School Certificate (Diploma Perito Commerciale - Ragioneria); Bachelor Degree (3yrs) in Economics or equivalent is a plus.
English and Italian Knowledge is mandatory; a third language is a plus
