Job Description Our Personal Assistant will support our Area GM in the organization and management of all activities, tasks and projects relevant to the accomplishment of the overall business results and ensuring the smooth operation of assigned daily tasks.
Main activities The Executive Assistant provides a wide range of administrative support to the GM and his team.
Overall duties will include general correspondence, agenda and business trips' arrangements, the preparation of presentations and Area GM's documents' archiving.
In detail: • Managing Area GM's agenda, arranging appointments, meetings, and events, ensuring all related materials and resources are prepared in advance.
• Arranging business trips and accommodations: flights, hotel accommodations, ground transportation and visas, ensuring that all logistical aspects are handled efficiently.
• Preparing and distributing communications: drafting, editing and proofread correspondence, memos, reports and presentations.
• Attending meetings and sharing minutes, ensuring key discussions, decisions, and action items are documented.
Prepare and distribute meeting agendas and follow up on action items as needed.
• Maintaining confidential information, ensuring proper storage, access and disposal, keeping the highest discretion and professionalism in all interactions at all times.
• Conducting research and gather information, reports and documents from various sources, providing summaries and analysis when requested.
Qualifications • At least 3-4 years as PA, preferably in luxury Hotels business or other luxury businesses.
• HQ in Rome and availability to travel for business, such as to Venice and Paris.
• Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
• Strong written and verbal communication skills, including exceptional attention to details.
• Proficiency in office productivity software, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with document management systems.
• Ability to work independently with minimal supervision, as well as collaboratively within a team environment.
• Exceptional interpersonal skills, with the ability to build rapport with others at all levels of the organization.
• Strong problem-solving and critical thinking abilities, with a proactive and solution-oriented mindset.
• Flexibility and adaptability to handle changing priorities and work effectively in a fast-paced environment.
• High level of professional integrity, discretion, and confidentiality.
• Advanced level of knowledge of English and Italian; French is a plus.
