Personal Assistant
Description
Provide one-to-one support to the Manager offering administrative help such as monitoring her calendar, drafting communications on her behalf, planning and organizing meetings and travel.
The resource has great interpersonal skills and needs to have a deep understanding of the company and intercompany network and know who the key personnel are.
The duties can be extremely broad and vary on a day-to-day basis, but mainly focus on:
- Preparing communications on behalf of line manager and preparing supporting documents ahead of each meeting as necessary
- Organizing travel arrangements, having regard for other meetings, time zones, transfer times etc.
- Organizing and planning meetings
- Conducting or preparing any research that the reporting manager may require
- Admin: reconciling expenses and claims promptly and accurately
- Various ad hoc requests
Personal Assistant job qualifications and requirements:
- Computer literacy
- Excellent interpersonal skills - to communicate clearly and effectively at all levels
- Professional discretion: ability to maintain high level of confidentiality in respect of information/documents/projects being produced/undertaken
- Efficiency
- Time management skills
- Enthusiastic attitude, solutions focused, reliable with a flexible attitude towards working hours
- Strong organizational skills: ability to work with limited direction and build up a thorough knowledge of an organization
