Personal Assistant - Fixed Term
Job Description
Within Group General Counsel, we are looking for a General Counsel Assistant who will report directly to the Head of General Counsel.
Key responsibilities of the role will include: Working closely with the manager to provide administrative support, on a one-to-one basisSupporting the manager to make the best use of her time by dealing with secretarial and administrative tasksSupporting the manager in all activities related to managing and planning the agenda, coordinating meetings within and outside the function, organising and maintaining diaries, and making appointmentsActing as the contact point for the manager, meeting and greeting visitors at all levels of seniority, dealing with incoming email, screening phone calls, enquiries and requests, and handling them when appropriateFocusing on corporate meetings (GMC, BoD, Committees) and ensuring the manager is well prepared for meetings by carrying out background research and presenting findings, producing documents, briefing papers, reports and presentationsGuaranteeing proactive management of all logistics aspects (i. e. , travel arrangements, transfers, scheduling, visas and accommodation), occasionally travelling with the manager, if requested, to provide general assistanceSupporting the manager in handling personal activitiesAssisting the team in managing the overall agenda (i. e. , booking rooms for meetings, aligning on travel arrangements)Supporting the BoD's members and Board of auditors in logistics aspects (i. e. , travel arrangements, transfers, scheduling, accommodation, expenses reports)Working closely with the Company Secretariat team to collect information and documents for BoD's and Committees meetings Requirements
Our ideal candidate will meet the following requirements:
1-2 years of experience in a similar role as a personal assistantFluent in English and Italian; other languages would be a plusExperience working under pressure and in stressful situations; ability to manage multiple projects simultaneously and successfullyStrong communication skills and experience in an international working environmentProactive and solution-orientedPassionate and energetic Company Profile
