Prestige Pharmacy Business Operation Manager
The Prestige Pharmacy Business Operation Manager will lead our process management and ensure the seamless operation of our online tool.
This pivotal role involves customer relationship management as well as management databases of Pharmacies and Minerva Brand Ambassadors, overseeing the booking and reporting of visits, and driving continuous improvement in our service delivery.
**Roles & Responsibili ties and main objectives
1.
Oversee the management of our databases, ensuring accurate and up-to-date information on Pharmacies and Minerva Brand Ambassadors.
2.
Coordinate the scheduling of Brand Ambassadors visits to Pharmacies, including booking, confirmation, rescheduling, and cancellation processes.
3.
Lead the development and execution of strategies to enhance customer relationships, ensuring high levels of satisfaction among Pharmacies and Minerva Brand Ambassadors.
Actively engage with Pharmacy managers to gather feedback, address concerns, and implement initiatives aimed at improving the success of on-site promotional activities.
4.
Facilitate the creation and analysis of visit reports, identifying areas for improvement and successful engagement strategies.
5.
Work closely with our development team to enhance the functionality and user experience of our online tool based on feedback from users and performance data.
6.
Develop and implement policies and procedures to improve efficiency, compliance, and quality of interactions between Minerva Brand Ambassadors and Pharmacies.
7.
Conduct training sessions for new users, including the CRM, and provide ongoing support to ensure they are maximizing the benefits of our tool.
8.
Monitor performance metrics, prepare reports for senior management, and recommend strategies for continuous improvement.
9.
Ensure the correctness and completeness of all the information related to the Brand Ambassador activities to streamline the relevant administration process.
10.
Ensure and directly manage all support materials for the BA's activities and services, including Dermalab replacements and repairs, marketing materials and products necessary for conducting activities in the pharmacies.
Ensure that requests from the distributor are handled promptly and with effective solutions.

Database Accuracy Rate: Percentage of accurate records in the pharmacy and promoter databases.
- Visit Scheduling Efficiency: Time taken to match promoters with pharmacies and confirm visits, including the rate of successful first-time matchings.
- Report Submission Timeliness: Percentage of visit reports submitted within the deadline.

- Customer Satisfaction Score (CSAT): Satisfaction levels reported by pharmacies, measured through surveys following interactions or visit completions.
- Issue Resolution Time: Average time taken to address and resolve issues reported by Pharmacies.

Engagement and Utilization
- Promoter Engagement Rate: The percentage of promoters actively booking visit reports and using the tool's features regularly.
- Pharmacy Engagement Rate: The percentage of pharmacies actively engaging with promoters and providing feedback on visits.
4.
Business Impact
- Increase in Promotional Visits: Growth in the number of visits scheduled and completed through the tool, indicating its effectiveness in facilitating engagements.
- Conversion Rate: The percentage of visits that result in a positive outcome, such as orders placed or agreements signed, showcasing the impact on sales or partnerships.
- Cost Savings: Reduction in operational costs achieved through efficiencies in scheduling, reduced manual intervention, and improved process management.
