PURCHASING OFFICER: Job purpose:
The Purchasing Officer is responsible for negotiating contracts, purchasing required goods, and maintaining accurate records of transactions, trends, and vendor performance. This role ensures the club receives the best products and services while adhering to budget and quality standards.
Main Activities and Responsibilities: Obtain competitive quotations for club requirements and ensure the best products are sourced and purchased, utilizing Group Nominated suppliers where applicable. Ensure locally nominated supplier information is kept current and manage the database of active local contracts with suppliers. Maintain and ensure the Purchasing Manual is current. Adhere to quality procedures and standards, overseeing purchasing administration to ensure all policies and standards are upheld. Collaborate with the Financial Controller to draft the annual budget and maintain records of commitments for all budgets. Ensure a comprehensive system for allocating and reconciling purchase orders. Manage relationships with club suppliers and report on their performance. Supervise the operation of the stores, uphold health and safety, quality assurance, and control procedures, make improvements to the level of control, compile accurate stock records, and maintain proper records of requisition and replenishment transactions. Monitor all areas of purchasing, including contracts, leases, and nominations. Prepare month-end accounts reports accurately and in a timely manner. Execute tasks and requests as instructed by the Club Management. Manage other activities relating to or resulting from what is indicated in the previous points. Key Competencies: Required Education and Experience: Previous experience in purchasing/procurement. Strong financial knowledge and ability to work with budgets. Computer literate, with good Microsoft Excel skills. Experience in maintaining and managing supplier relationships. Relevant degree in Finance/Accounting or related business discipline from an academic institution is advantageous. Knowledge of one or more foreign languages (at least fluent Italian and good level of English) is a plus. General Knowledge and Technical Skills: Proficiency in procurement processes and best practices. Knowledge of inventory management and control. Familiarity with budget management and cost control principles. Competence in using procurement software and systems. Understanding of vendor management and negotiation skills. Knowledge of safety regulations and quality standards. Personal and Interpersonal Skills: Excellent communication and negotiation skills. Strong organizational and time management abilities. Attention to detail and high level of accuracy. Ability to build and maintain strong working relationships with internal and external contacts. Problem-solving skills and the ability to work under pressure. Strong ethical standards and integrity. Adaptability and willingness to learn new skills and processes.
