Reactive Sales Coordinator
Major Function**:
Maximizes revenue through increased bookings in hotel.
Provides an efficient and effective process to quickly handle customer inquiries for group rooms and conferences.
Then communicates all bookings to the hotel service departments and Event Management.
Effectively presents and sells the Hotel.
**Key Result Areas and Responsibilities**:
- Fully responsible to respond to telephone inquiries/requests for group business and corporate meetings in a timely manner.
Defines meeting specifics.
- Responsible for converting Options and Tentatives to Definites by anticipating the customers needs and ensuring we have exhausted all measures for securing the booking.
- Responsible for complete handover of group file to Event and ensuring that Event has followed up with the client within 24 hours of turnover.
- Suggests positive alternatives and ensures that business booked is within hotel parameters.
- Process all correspondence with in acceptable time limit (within 3-6 hours).
- Timely customer follow-up on all pending/option and tentative business to convert to definite.
- Maintains account files.
- Provides contracts, BEO's and other related booking tools.
Prepares all sales documentation accurately.
- Works closely with pro-active Account Managers and Event Manager to facilitate customer bookings.
- Is involved with customer site inspections that have group business in Opt or Ten mode.
- Maintain file records, call and activity reports in Opera
- Participates in training sessions established by Marriott International when applicable
- When necessary, assists in organization of special events with Sales and Marketing department
- Assists in other areas as directed by the Director of Sales & Marketing.
- It is required to be an organizational learner whereby the work is well organized, maintained, and available and easy to locate by everyone.
- Always communicate openly.
**Technical Skills**:
- Strong verbal sales skills
- Utilize selling skills to book all aspects of meeting in one phone call
- Understanding of meeting room set-ups; audio-visual and other support services
- Knowledge/appreciation of MHRS brand culture, philosophies and initiatives
- Excellent verbal and written skills
- Maximize revenue by up-selling packages and creative food and beverage options
- Adheres to follow need time strategy as developed by revenue management
- Understanding and attainment of team and individual goals
- Software knowledge (Microsoft Office )
- Systems knowledge (Fidelio OPERA)
