LDJ is currently on the lookout for a spirited Office Assistant to join our bustling office in Milano.
You will be the backbone of our daily operations and the face of our office facilities, ensuring everything runs smoothly, assisting in coordinating LDJ activities, and helping implement our policies and procedures (internally and externally with suppliers, couriers, etc).
What you will do: Front office activities: Be the friendly face (and voice) that manages phone and email contact, building entry/exit of visitors and supplies along with correspondence with building suppliers and other external stakeholders. Support scheduling and coordination: Help organize activities and procedures regarding the office spaces. Administrative support: Be the glue that holds our admin and general services together, supporting planning activities and providing assistance to our employees. Office supplies management: Keep us well-stocked and ready for anything by organizing and purchasing office stationery and supplies with proper attention to budgets, approval process and costing. Building maintenance support: Assist in the maintenance of our buildings, working with subcontractors and suppliers to keep our space in tip-top shape. Event organization assistance: Help us execute company events in the building to support the PR & Marketing events team (RYV activations, Sample Sales, celebrations, and companywide meetings). Cross-functional support: Collaborate with the Corporate teams (HR, Administration, General Manager, Executive Assistant) and other departments to ensure smooth operations. What we're looking for: Experience in a similar role, nice to have. Knowledge of basic clerking principles and office management systems and procedures. Proficiency in MS Office, "back-office, " and accounting software. Excellent communication and interpersonal skills. Organizational skills with the ability to prioritize, multi-task, and meet deadlines (without breaking a sweat). Reliability, patience, and professionalism. Attention to detail and a knack for creative problem-solving. Fluency in Italian and English. Seniority levelMid-Senior level
