Receptionist & Back Office Support - Legge 68/99
Position Overview
- An administrative role, in back office, to support colleagues of the facilities team.
A point of reference for administrative related queries. - A clear archive of documents like ME projects, HVAC projects, emergency team members, emergency maps etc. - Maintain updated situation at all times regarding vendor H&S documents, invoicing and PO'sEssential Duties & Responsibilities
- BACK OF HOUSE:
- Updated system of all kind of documents
- Have documents ready in case of authority checks
- Digitally inventorize and systemize all official documents of stores, showroom and offices
- Gather all general information / plans / projects of stores, showroom and offices
- Keep track of costs, PO's and invoices
- Ask for security documents to vendors and archive them in a structured way
RECEPTION:
- Greet and welcome whoever comes into the office
- Manage mail; bank statements, reminders for unpaid invoices and follow up on these reminders with internal stakeholders and vendors.
- Receive couriers and prepare/send shipments for colleagues
- Manage new vendor requests or changes in actual vendors on the Aravo platform
- Raise PO's
- Manage facilities for office like coffeepads, green maintenance, HVAC and electrical maintenance, cleaning, special disposal pick up
- Manage external stakeholders from showroom or stores when present in the office for trainings, sales markets, meetings
- Check first aid boxes
- Support in handling various activities for main and external showrooms.
- Quick fix issues on printers
- Point of reference for the offices
- Keep up standard in offices
- Smooth operations of daily activities in office for employees
- H&S situation is under control and updated
- Mail and couriers
Experience, Skills & Knowledge
- Precise and detail orientated
- Autonomous
- English
- Good communication and collaboration skills
- Good knowledge of Office
- Analyzing issues and solving problems
