Receptionist & General Services Staff - Maternity

Scope
Reporting to the Facilities & Workplace Experience Manager Italy, the Receptionist & General Services Staff will be the first point of contact for every guest arriving in Novara office.
She/he will also support with the management of the Italian offices, company car fleet and Health & Safety activities.
**Responsibilities**:
- Welcome every guests in Novara's office and will perform the registration
- Sort phone calls of Novara's office
- Manage stationery in line with company guidelines and budget
- Support the Facilities & Workplace Experience Manager with Novara's office management
- Support with the company car fleet management and provide assistance to the drivers when necessary
- Organize the annual maintenance making sure the timing is respected and help when extraordinary maintenance are necessary
- Monitor and update maintenance tracking
- Organize the H&S mandatory trainings;
- Update H&S Organization charts and H&S documents in each office in Italy;
- Organize all mandatory medical visits liaising directly with the medical service provider;
- Support the team with COVID procedures being employees' first point of contact when COVID situation arises in the company
- Support the team with company event's and trainings organization.
**Requirements**:
- A minimum of 2 years of experience in similar position;
- A good communicator with the ability to interface regularly with internal and external personnel at all levels;
- Enthusiastic, dedicated, meticulous, proactive, problem-solving oriented;
- Fluent in English and Italian;
- Microsoft Office experienced.
