**WHO ARE WE LOOKING FOR?
We're currently looking for a** Receptionist & Office Support Specialist** belonging to **Protected Categories (L. 68/99)**.
This dual role requires a proactive and organized individual who can efficiently manage office operations while providing exceptional service to both internal stakeholders and external visitors.
You will report directly to the **Corporate People Operations Specialist.
You will mainly manage the HQ Milan Office requests but you could be also required to support the London and Milan office when it's needed.
**WHAT YOU'LL DO
As Office Support Specialist:
- Maintain relationships with internal staff and external providers for office maintenance and Health & Safety trainings;
- Ensure the upkeep of office spaces, common areas, and meeting rooms, coordinating maintenance as needed;
- Oversee external office-related providers, including water suppliers, cleaning services, vending machines, building maintenance, fire prevention, and office printers;
- Research and identify relevant company contacts in case of emergency situations;
- Coordinate express courier services and manage associated fees;
- Organize medical examinations and safety training for employees.
As Receptionist:
- Welcome new joiners and external guests with professionalism and hospitality;
- Manage unforeseen visits and extemporary situations with kindness and composure;
- Taxi booking when required;
- Maintain a tidy and welcoming reception area, ensuring a positive first impression for visitors;
- Assist with inquiries from clients, visitors, and staff, providing accurate information and assistance as needed;
- Handle incoming calls or requests, redirecting them to appropriate personnel or taking messages as necessary;
- Assist with administrative tasks such as data entry, filing, and document preparation.
**WHAT YOU'LL NEED
- At least 1 - 2 years of experience in the role;
- Good proficiency with English;
- Good knowledge of Office suite (the knowledge of Apple suite will be considered as a plus);
- Ability to multitask, prioritize to-dos, and maintain an organized office environment;
- Ability to identify and resolve issues related to office operations, facilities, or people;
