**Job Purpose
The Receptionist will be required to handle a great range of administrative and executive support related tasks and will be able to work under supervision.
This person must be well organized, flexible, and enjoy the administrative challenges of supporting an office of diverse people.
The person will report to the Office Manager.
**Key responsibilities
- He/She greets and welcomes guests as soon as they arrive at the office;
- He/She directs visitors to the appropriate person and office;
- He/She answers, screen, and forward incoming phone calls;
- He/She ensures the reception area is tidy and presentable, with all necessary stationery and material (e. g.
pens, forms, and brochures);
- He/She receives, sort, and distribute daily mail/deliveries;
- He/She maintains office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges);
- He/She orders front office supplies and keep an inventory of stock;
- He/She updates calendars and schedules meetings;
- He/She arranges travel and accommodations, and prepare vouchers;
- He/She keeps updated records of office expenses and costs;
- He/She performs other clerical receptionist duties such as filing, photocopying, transcribing, and faxing;
- He/She will assist the departments in filing requests and documents with the Italian Authorities (e. g.
Italian Trade Register and Revenue Agency);
- He/She supports with Domiciliations;
- He/She supports departments with submitting legal, tax, and financial documents to the Italian authorities and banks;
- He/she helps in implementing and maintaining procedures/office administrative systems;
- He/She translates documents in compliance with internal rules requirements;
- He/She organizes and stores paperwork, documents, and computer-based information;
- He/she supports HR in handling courses and medical visits related to safety in the workplace, ensuring that under health and safety perspective the office is compliant;
- Visitors greeting, preparing tea/coffee;
- He/She copies and prints various documents;
- He/She performs other tasks under the request of the supervisor.
**About you
- Higher degree;
- Proven office administrative experience with at least 5 years' experience in the administrative sphere;
- English at Upper-Intermediate level;
- Excellent time management and ability to multi-task and priorities work with strong organizational, planning, and coordinating skills
- Knowledge of MS Office package (Word and Excel);
- Strong interpersonal and communication skills;
- A team player who can work independently as well.
